General Description of Role and Responsibilities:

  1. Developing, monitoring, and updating submittal schedule report.
  2. Undertaking all administrative responsibilities at project.
  3. Assisting Project team in word processing and documentation.
  4. Maintaining filing system, following-up with inward and outward document flow.
  5. Routing documents within project management staff.
  6. Preparing report as advised by Project Director.
  7. Responsible for data entry and coding using the Electronic Document Management System (DCS).
  8. Gathering information for implementing the new project.
  9. Collecting inputs from clients.
  10. Listing out the Documents and documenting the project details.
  11. Explaining the Project Plan to internal execution team.
  12. Describing all possible document flow structure in the tbits application.
  13. Submission of documents and creating Transmittal through RoBOTic Document Control.
  14. Describing and creating the Acknowledge letters for the clients through RoBOTic Document Control.
  15. Tracking the pending documents through weekly progress reports.
  16. Notifying the involved party for taking appropriate action on the pending documents.
  17. Manual follow up with the client's internal team to get an expected schedule for all pending documents.
  18. Export of As-Built files in the customer required format.
Qualifications, Experience, Knowledge and Skills:
  1. Diploma or degree in a related field.
  2. 10 years of previous experience working in a Document controlling capacity.
  3. Excellent Knowledge of Microsoft Office.
  4. Must have strong communication skills.
  5. Aconex experience is preferred.
  6. Must have basic understanding of Windows Servers.
  7. Must feel easy to work with Excel for presentation and interpretation of data quickly.
  8. Knowledge of Basic SQL and Regular Expressions will be an added advantage.
  9. Proficient with Electronic Document Control Systems (e.g., Aconex, Oracle Primavera Unifier) Ability to utilize multiple word processing and database applications including (MS Office applications, Word, Excel, PowerPoint, Access, Adobe Acrobat Professional).
