Job details

Responsibilities:

  1. Assists the line manager to organize daily activities and support his team ensuring proper data flow. The incumbent will also be responsible for managing and controlling memos, manuals, documents, and reports, and is accountable for collecting, editing, securing, and amending data.
  2. Responsible for the maintenance and review of the document management process.
  3. Responsible for receiving, screening, distributing, and prioritizing all incoming mails, both electronic and hard copy.
  4. Controls the distribution of information, documents, new releases, and manages the destruction and retrieval of controlled documents.
  5. Responsible for the correct filing of documents and creating draft documents based on standard templates.
  6. Monitors and follows up on all official documents for review and approval from appropriate personnel.
  7. Develops and maintains records and logs of all documents received and controls the distribution of information, ensuring secrecy of all vital information handled.
  8. Accomplishes and follows up on matters requested by the line manager in a timely manner.
  9. Abides by PHCC’s document controlling quality standards and regulatory requirements.
  10. Partners with the line manager to understand risks in your area of work, develops a plan on how to mitigate those risks, and develops shared accountability for implementing and evaluating the plan.
  11. Responsible for typing memos, emails, reports, correspondence, and other general office information.
  12. Manages daily/weekly/monthly agenda, books meetings/conferences as directed, and takes minutes of meetings.
  13. The incumbent shall undertake any such related duties or responsibilities as directed.
  14. The incumbent shall not, at any time, directly or indirectly, use or disclose any of the confidential information except as authorized and within the scope of employment with the corporation.
Requirements:
  1. Diploma or bachelor’s degree in business administration, logistics, finance, or a similar discipline.
  2. Minimum 5 years of similar experience within the government sector in healthcare entities in Qatar.
  3. Mandatory Excel skills for reporting & analyzing.
  4. The incumbent should understand the end-to-end SCM business processes and be able to handle daily operations.
  5. Proficient knowledge of office administration.
  6. Organization skills and quick typing skills.
  7. Troubleshooting and problem-solving skills.
  8. Communication and organizing skills.
  9. Presentation and Microsoft Excel skills.
  10. Demonstrate a sense of teamwork and effective communication.
  11. Mandatory English reading, writing, and communication skills.
