Clinic Coordinator

At Solace Wellness, we are looking for a proactive and detail-oriented individual to support our client engagement, clinic coordination, and administrative operations. As the first point of contact for both new and existing clients, you will play a key role in ensuring smooth communication, efficient scheduling, and exceptional client service. This role offers a unique opportunity to gain insight into the mental health and wellness industry while developing skills in client relations, business administration, and operational management. It is ideal for individuals seeking career growth in a clinical and training environment. We welcome both experienced professionals and fresh graduates eager to learn. Key Responsibilities
  • Serve as the main contact for client inquiries via phone, email, WhatsApp, and in-person interactions.
  • Assist clients by providing clear and accurate information about services, appointments, and processes.
  • Manage bookings, client records, and payments while ensuring confidentiality.
  • Support the sales process by following up with potential clients and tracking engagement.
  • Identify opportunities to enhance client experience and provide feedback for improvements.
Administrative & Clinic Operations
  • Schedule and confirm appointments between clients and therapists, ensuring accuracy.
  • Maintain organised client records, track appointments, and update databases.
  • Assist with the coordination of workshops, training sessions, and events.
  • Ensure clinic operations run smoothly by managing room bookings and therapist schedules.
  • Contribute to improving administrative systems and workflow efficiency.
What We’re Looking For
  • A degree in any discipline (psychology, business, or healthcare-related fields are a plus).
  • Strong communication and interpersonal skills, with a client-focused mindset.
  • Attention to detail, accuracy, and strong problem-solving abilities.
  • Ability to multitask and stay organised in a dynamic environment.
  • Proficiency in Microsoft Office, Google Workspace, and administrative software.
  • Experience with social media management or marketing is an advantage.
  • Fluency in English is required; additional languages (Bahasa Malaysia, Mandarin) are a bonus.
