About the role McNab have a rare opportunity for a professional Executive Assistant (EA) primarily based in our South Brisbane office. You will be at the heart of supporting two Executives, ensuring they can focus on driving strategic outcomes while you manage the day-to-day coordination and operational support they need to excel. This opportunity would suit someone who has held a similar role undertaking a wide spectrum of duties. Key responsibilities of this role will include:
- Proactive diary management: Manage complex meeting logistics, resolve scheduling conflicts, and ensure both Executives and participants are fully prepared with the necessary materials and information to achieve desired outcomes.
- Email management: Triage and filter incoming communications, delegate tasks, and prioritise critical items, ensuring actions are completed within required timeframes. Act as a trusted conduit for communication, ensuring information between the Executives, internal teams, external stakeholders, and clients is accurately captured, prioritised, and actioned in alignment with the Executives’ agreed ways of working.
- Provide general administrative assistance, including scheduling and preparing for meetings, managing travel requirements, tracking and actioning emails, and coordinating stakeholder communications with efficiency and professionalism.
- Draft, review, and manage correspondence, reports, presentations, and other materials with accuracy, professionalism, and alignment with company standards. Organise and maintain relevant information, files, and resources for quick access and informed decision-making. Ensure all documentation and reporting are current and accurate, adhering to McNab’s processes and procedures.
- Invoice management, expense and credit card reconciliation, and other financial processes.
- Cultivate strong relationships across internal teams, external stakeholders, and industry bodies, representing the Executives with professionalism and diplomacy. Build rapport with team members to understand their needs and work styles, using this knowledge to anticipate requirements and provide tailored support that fosters collaboration and efficiency.
- Occasional Travel between sites as required (Brisbane, Gold Coast, Sunshine Coast and Toowoomba).
- Previous solid experience as an Executive Assistant, preferably supporting two senior executives, with the ability to seamlessly balance and prioritise their distinct needs.
- Experience supporting executives who frequently travel or work remotely, ensuring communication and coordination remain smooth and their time is focused on strategic goals.
- Experience with or a passion for the construction, building, or property sectors is a strong advantage.
- Relevant qualifications in business administration or a related discipline are highly regarded.
- A highly organised and resourceful professional who thrives in a fast-paced, dynamic environment and demonstrates strong commercial and financial acumen.
- Builds rapport effortlessly, with a curious and proactive mindset that anticipates the needs of the executives and the teams they lead.
- Exceptional organisational and time management skills, adept at managing competing priorities, ensuring urgent matters are addressed promptly, and optimising schedules for maximum impact.
- Advanced written and verbal communication skills, capable of drafting polished correspondence, reports, and presentations.
- Proficient in Microsoft Office Suite and other relevant tools, with a willingness to adopt and leverage new technologies.
- Demonstrated ability to engage effectively with executives and a wide range of other staff across the organisation.
- Understanding the importance of this role and the ability to maintain confidentiality.
