(For Pooling Purposes) What does an Executive Assistant really do? Gone are the days when Executive Assistants only manage calendars, bookings and make coffee runs. Think of yourself as a “mini-me” of your executive, a subject matter expert, a decision maker, and an air traffic controller. So not just anyone is qualified for this role! Now we need your full concentration because it’s time to imagine what it’s like being an Executive Assistant. Imagine yourself going to work with one thing on your mind: You basically make your boss look good! As you tackle your new tasks for the day, you know that it comes down to one thing: that you’re a direct reflection of your executive and you're responsible for their productivity as well as their teams. As an Executive Assistant you will:
- Arrange business and personal travel with personal preference(s) in mind.
- Effectively coordinate executive communications, including taking calls, responding to emails and interfacing with clients/visitors.
- Communicate effectively with clients, visitors, staff, and personal contacts.
- Execute any administrative tasks and project management that are presented.
- Review the management system and upcoming events/meetings to ensure the executives are prepared.
- Coordinate tasks and deliverables of executives’ direct reports.
- Coordinate and keep track of action plans for the department.
- Prepare needed presentations and reports.
- Prepare and submit expense/budget report.
- Facilitate meetings and be fully informed on necessary company decisions impacting both executive's schedules, productivity, and effectiveness.
- At least 1-3 years of experience as an Executive Assistant preferred.
- Proficient with Google Workspace and experience with Workday is highly preferred but not a requirement.
- Ability to learn quickly and troubleshoot issues independently.
- Extreme discretion and confidentiality, tact, independent judgment, flexibility, dependability and accountability.
- Background in analytics with workforce and number crunching. Generating reporting and presentations.
- Strong critical thinking skills that can work independently with background in advance basic accounting (preferred not a requirement).
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of client service and response.
- Much of the work is self-appointed with a high degree of self-discipline.
- Willing to work long hours when necessary including nights/weekends.
- Amenable with remote or hybrid work set up.
- Willing to travel domestically.
- International coordination experience: calendar arrangements, dealing with multiple time zones, travel arrangements, scheduling (professional and personal) and expenses.
