Job Summary The Senior Administrator provides office and administration support through excellent customer service, handling information requests, performing clerical functions such as preparing correspondence, arranging conference calls, scheduling meetings, and fulfilling all administration requirements assigned. Job Responsibilities

  1. Remain professional and approachable at all times, providing excellent customer service to all visitors and acting as a face of the organization to enhance branding internally and externally.
  2. Maintain a scheduler to organize appointments with the direct supervisor and provide necessary advice/reminders daily, ensuring critical meetings are not missed.
  3. Check admission of guests without appointments to the direct supervisor daily.
  4. Maintain a log of visitors and appointments for easy reference daily.
  5. Confidentially and accurately distribute, record, or file correspondences, calls, or queries at all times for efficient traceability of all documents handled in the direct supervisor’s office.
  6. Ensure that documents for the department are distributed to the concerned personnel in a timely manner daily.
  7. Screen and organize documents for the direct supervisor in the signature file daily.
  8. Record all distributed documents and monitor actions taken for correspondence requiring a reply daily.
  9. Advise the direct supervisor of any documents/matters requiring immediate attention daily.
  10. Screen and forward approved calls to the direct supervisor daily.
  11. Monitor all documents coming in or leaving the department in compliance with the quality management system at all times.
  12. Ensure proper dissemination of mails to the department daily.
  13. Ensure that couriers/packages are delivered/received in a timely manner.
  14. Collate data or prepare professional reports, memos, or presentations as requested by the supervisor within the established time frame with minimal errors.
Job Knowledge & Skills
  1. Knowledge in office administration.
  2. Knowledge and experience in delegation of authority and responsibility.
  3. Knowledge of information gathering and monitoring.
  4. Excellent working knowledge of English (oral and written).
  5. High proficiency in Computer Office Applications and Programs (MS Excel, Word, etc.).
  6. ERP knowledge, preferably SAP functional skills, are required to be successful in this role.
Job Experience Minimum 5 years working experience, 3 years relevant working experience, 2 years in GCC is a plus. Competencies
