Privacy Notice Executive Assistant (Associate) Riyadh New Business Development - Saudi / Full-time / On-site Role Purpose and Summary Responsible to provide comprehensive administrative support including managing the CDO's schedule and travel arrangements, handling communication with stakeholders, managing event planning, and assisting in special projects and initiatives; the position demands discretion, sound judgment, and integrity in managing confidential information. Experience Min 5 years of experience as an Executive Assistant, Secretary, or similar role supporting senior and/or C-suite executives in a fast-paced and high demand environment. Experience in KSA/Middle East and in banking/investment industry is desirable. Qualifications Bachelor’s degree in Business Administration, Communications, or a relevant field. Key Responsibilities: Role Specific Technical Responsibilities

  1. Administrative support Manage the CDO’s calendar by scheduling meetings, appointments, and coordinating travel plans. Prepare, review, and edit a variety of documents including correspondence, reports, and presentations. Prepare relevant background information and materials that ensure the CDO is well-prepared for meetings. Organize internal and external meetings by preparing agendas, assembling materials, and recording meeting minutes. Arrange comprehensive travel plans, itineraries, and agendas, including bookings and reservations. Coordinate logistics for both domestic and international travel, including transportation, accommodations, and visa requirements. Develop a filing system for critical documents and records and maintain an organized system for tracking and retrieving information. Ensure adherence to company policies and procedures regarding confidentiality and data protection; handle sensitive and confidential information with utmost discretion and professionalism.
  2. Communication and events management Serve as the liaison between the CDO and internal and external stakeholders. Screen and prioritize incoming communications, such as phone calls, emails, and letters and ensure timely follow-up. Draft and respond to correspondence on behalf of CDO and manage the process of obtaining necessary signatures and notarizations. Assist in the planning and coordination of company events, meetings, and functions. Liaise with vendors, caterers, and venues to ensure the successful execution of events.
  3. Project management Support the planning and execution of special projects and initiatives as required. Conduct research, collect data, and prepare detailed reports to support the CDO’s decision-making process.
