Job Title: Technical Administration Executive Reference ID: 36280 Our client is a leading Japanese medical manufacturer. The Technical Admin Executive will provide administrative support to Technical Department operations. Report to: Technical Manager 【 Responsibilities 】 Manage all service calls and technical support inquiries from local customers, serving as the primary point of contact. Prepare quotations for service contracts, spare parts, and ad-hoc service requests. Maintain and update customer service contracts in the master list and CMMS. Record newly purchased equipment (post-commissioning) in the warranty list and CMMS. Monitor service contract periods and equipment warranty end dates, proactively notifying customers about renewals. Generate work orders for service calls, preventive maintenance (PM), and equipment commissioning. Maintain the monthly PM schedule list and coordinate with technical engineers to ensure timely equipment maintenance. Process technical invoices for completed services and resolve any invoice discrepancies. Liaise with the Finance team on technical invoice issues and the Operations team on technical purchase orders (POs) and quotations. Maintain organized filing and record-keeping of all technical team documents (quotations, POs, invoices, service reports, and service contracts). Support tender participation by identifying and providing necessary information for technical submissions. Ensure the workshop area and office remain clean and organized. Perform other duties as assigned. 【 What you will receive 】 AWS Variable Bonus: Based on company and individual performance, with an average of 1-2 months in previous years. Annual Leave: 18 days per year. Medical Leave: 14 days per year. 【Requirements & Preferences】(Must) Diploma/Bachelor's Degree in Business Administration or equivalent. At least 2-3 years of experience in Technical Administration and Support within the Trading/Medical industry. Proficient with MS Office applications especially MS Excel - Pivot Table function. Experience in using Computerized Maintenance and Management Systems (CMMS). A good team player with excellent professional interpersonal relationships. Self-starter, able to work with limited supervision. Able to work efficiently even when under pressure and able to multi-task. Excellent communication in English and Mandarin to liaise with English and Mandarin stakeholders. (Advantageous) Experience working in a Japanese company.
