The Front Office Administrator - Cashier serves as a vital hub of communication and financial operations within the school. This role is responsible for processing and managing school-related financial transactions with accuracy and efficiency while also handling front office duties to ensure a welcoming and organized reception area. The ideal candidate will possess strong financial acumen, exceptional attention to detail, and outstanding customer service skills. They will assist parents with financial and general inquiries, manage front desk operations, oversee security and transport coordination, and support admissions and administrative functions. The role also requires adherence to security and safeguarding protocols, ensuring compliance with data protection regulations and emergency response procedures. Key Responsibilities:

  1. Payment processing & cash handling
    • Process all school-related receivable payments and receipts, including tuition fees, activity fees, event charges, and other receivables as required by the school.
    • Ensure accurate recording of all transactions in the appropriate financial systems.
    • Issue receipts and maintain accurate records of payments received.
    • Maintain a balanced cash drawer and ensure that cash handling procedures comply with school policies.
  2. Front Desk Operations
    • Welcome & greet visitors, parents and staff in a professional manner and where necessary direct them to the relevant departments.
    • Serve as the first point of contact regarding all inquiries and provide clear, accurate, and timely responses to questions.
    • Manage incoming calls, emails, and inquiries and respond/act accordingly.
    • Switch over to “night-mode” on the switchboard at the end of the late shift and lock the switchboard, ensuring all after-hours calls are redirected to security.
    • Maintain a tidy and organized reception area.
    • Ensure coverage at the front desk when temporarily called away.
    • Act as a liaison between parents, students, and school staff.
  3. MIS
    • Prepare and update school photo ids for parents/guardians, drivers, domestic workers, staff, and contractors in line with school policies.
    • Ensure id badge templates are accurate and updated for each category.
  4. Transport coordination
    • Plan, coordinate, and communicate daily school transport requirements and ensure drivers are informed of their schedules.
    • Oversee transport arrangements for:
      • Outdoor education and curriculum-related activities.
      • Educational visits (trips).
      • Staff transport.
      • School administration needs.
      • Extra-curricular activities.
  5. Admissions support
    • Assist with enrollment inquiries and provide guidance to prospective parents.
    • Support the registrar’s office during peak periods, show prospective parents the school campus, staff absences, or holidays.
  6. Security procedures Adhere to the school’s security policy and procedure and where needed liaise with Facilities Manager.
  7. Administrative support
    • Assist with general administrative tasks, including data entry, filing, and document preparation.
    • Coordinate mail and package deliveries to appropriate recipients.
    • Coordinate with security and school staff to manage appointments efficiently, ensuring the security protocols are adhered to.
  8. Emergency response Follow established protocols for emergency situations, including alerting relevant personnel and communicating with staff and parents.
  9. Safeguarding Complete Safeguarding courses, provided by BISJ, and keep a pro-active approach towards creating a safe environment for the BISJ community.
  10. Data Protection Complete Data Protection courses, provided by BISJ, and remain vigilant towards Data protection.
Knowledge:
  • Familiarity with the local community and cultural sensitivity.
  • Proficiency in Microsoft Office Suite, Engage and Financial Software.
Preferred skills:
  • Excellent communication and interpersonal skills.
  • Proven experience in cash handling.
  • Attention to detail and ability to multitask and prioritize tasks in a fast-paced environment.
  • Customer service-oriented with a positive attitude.
  • Discretion and confidentiality when handling sensitive information.
  • Flexibility and availability to work during busy periods, weekends, and after-hours as needed.
Experience: Preferred experience as an Accountant Clerk and/or Administrator in an International school.
