Job Title: Administrative Assistant - Host Nations Education: Bachelor of Business Administration (Management) Nationality: Any Nationality Vacancy: 1 Vacancy Job Description: Overview: Under moderate supervision, work involves performing a variety of administrative duties within a discipline or division of the company. Responsibilities:
- Performs a variety of general administrative support tasks.
- Prepares reports and correspondence; maintains project files according to company policy.
- Prepares access badge applications.
- Prepares Sponsor letters for all employees in the company.
- Creates all the sponsors Purchase Requests (PR).
- Coordinates with subcontract and program control to authorize and approve the PRs.
- Operates all office equipment, PC computer and printer, fax machine, 10-key calculator, and reproduction machines.
- Answers telephone for all incoming and interoffice calls in a courteous and professional manner; disseminates telephone messages to management and employees.
- Gathers and creates PR special reports for materials, forms, and summaries at the request of management.
- Schedules appointments (medical, fingerprints, Eye test, lost CID, KDL & truck permit).
- Requisitions supply and completes routine office reports.
- POC Property inventory for Host Nation department.
- Processes incoming and outgoing mail for all Host Nation services (Renewal Residency, New Residency, Renewal Civil IDs, New KDL, Renewal KDL, J2 badges, Renewal Baladiyah cards, Driving Insurance, etc.).
- Daily update for accident report.
- Communicates with all departments and point of contacts.
- Verifies timesheet accuracy; prepares vacation schedules and vacation timesheets.
- Maintains employee roster for the department or section.
- Performs other duties as assigned.
- Key control.
- Observes all stored materials and works to compensate for the shortcomings with a purchase order.
- Drafts correspondences or messages.
- Works with spreadsheets, creates presentations and reports, and works on HCAMS System.
