We are looking for a friendly, organized, and professional Dental Receptionist to join our dental clinic team. This position plays a key role in creating a welcoming environment for patients while managing the administrative duties of the clinic. The ideal candidate will be responsible for handling patient appointments, answering inquiries, and ensuring smooth daily operations.

Key Responsibilities:

  1. Greet Patients: Welcome patients with a warm and friendly attitude, providing them with necessary forms and information about their visit.
  2. Schedule Appointments: Manage and schedule patient appointments, ensuring that the clinic’s schedule runs efficiently. Confirm and remind patients of upcoming appointments.
  3. Phone and Email Communication: Answer incoming phone calls and respond to emails, providing information about services, scheduling, and insurance inquiries.
  4. Patient Records: Maintain accurate and up-to-date patient records, including personal details, medical histories, and treatment information.
  5. Billing and Payments: Process patient payments, handle billing inquiries, and assist with insurance claims and verification.
  6. Insurance Verification: Verify patient insurance coverage and inform patients of any out-of-pocket costs or payment options.
  7. Assist with Administrative Tasks: Perform general office duties such as filing, organizing, and maintaining patient files. Prepare patient charts and ensure that all necessary documentation is ready for the dental team.
  8. Manage Waiting Area: Maintain a clean and organized waiting area to ensure a comfortable environment for patients.
  9. Coordinate with Staff: Collaborate with dental assistants, hygienists, and dentists to ensure smooth patient flow and effective communication regarding treatment needs.
  10. Handle Confidentiality: Ensure patient confidentiality is maintained in compliance with HIPAA and other relevant privacy regulations.
  11. Customer Service: Provide exceptional customer service, addressing patient questions or concerns in a professional and friendly manner.
Qualifications:
  • Education: High school diploma or equivalent. Additional training or certification in office administration, dental assisting, or related fields is a plus.
  • Experience: Previous experience in a dental office or medical setting is preferred, but not required. Training will be provided.
Skills:
  • Strong communication skills, both verbal and written.
  • Excellent organizational and time-management skills.
  • Ability to multitask and manage a busy environment.
  • Proficient in office software (e.g., Microsoft Office, dental management software).
  • Knowledge of dental terminology, treatments, and procedures is a plus.
  • Customer service-oriented with a positive attitude and professional demeanor.
