Administrative Assistant Executive Office | Location: Toronto The Role: This is an exciting opportunity to bring your organizational and administrative skills to a national role! Working closely with the Executive Team, internal teams and applicable external stakeholders, the Administrative Assistant will provide strategic, critical and sophisticated administrative and project support to ensure the smooth and efficient running of the Executive function and offices at Arthritis Society Canada.   • Drafting and assembling schedules, agendas and other key materials in support of Board of Directors and Committees meetings.
Executive Office (70%):
  • Main contact for all internal Executive meeting bookings including calendar confirmations, drafting agendas and creating materials.
  • Managing communications to internal stakeholders, including drafting correspondence and collating materials.
  • Coordinating CEO-led employee-related events and meetings, including in-person and virtual all staff retreats.
  • Handling Executive travel including flights, hotels, catering, etc.
  • Completing expense reporting for Executives.
Qualifications, Experience & Skills:
  • Degree or college diploma in administration or related field with a minimum of five (5) years of experience supporting a senior level executive/senior team with administration and project needs.
  • Ability to multi-task, drive portfolio independently and work well under pressure.
  • Unquestionable integrity, a highly nuanced sense of judgment and absolute discretion with confidential and sensitive information. Demonstrated ability to be tactful and diplomatic.
  • Professional and sophisticated communicator, with excellent written skills. A responsive customer service outlook with a positive “can do” approach.
  • Technologically savvy, with an advanced level of proficiency in Microsoft Office.
Working Conditions: This position is designated to our Toronto office in a hybrid model. This means you will work at least 2 days a week from our Toronto office and the rest of the days remotely/from home. The exact days you are required to work from our office will be determined by your supervisor. This will include in-person meetings, events, retreats and other opportunities to connect and collaborate. Some Highlights of What we Offer:
