Job Description This role is responsible for managing all official project documents for internal and external stakeholders. The role is expected to implement and manage the Document Management System while providing quality assurance measures according to company policy and procedures and project requirements. The role will be reporting to the Project Controls Manager in Manila. Responsibilities & Duties
- Provide document management and project controls support including but not limited to receipt, inventory, audit, tracking, storage, retrieval, and distribution of both classified and unclassified electronic, paper, and other media project data and documents according to company policy, and proper procedures for the projects.
- Maintain general and technical documents and periodical subscriptions related to projects, with the use of internal document control systems or client-specific tools.
- Coordinate with Project Managers and IT/Records Management on the proper methods of protection for project records and make recommendations on media, rotation, and procedures.
- Manage the setup and maintenance of document control/records management for multiple projects and Project Managers.
- Escalate issues and recommend resolutions to the Team Lead for timely resolution.
- Perform moderately complex tasks in compliance with service level agreements, processes, policies, and procedures.
- Propose alternatives to identified issues and assist in investigating and resolving common and unusual issues.
- Contribute to various and simultaneous process improvement initiatives to streamline processes, improve customer experience, and increase productivity.
- Contribute specialized expertise to different assigned projects and may provide key updates to the Team Lead and Manager.
- Bachelor’s degree in engineering, architecture, construction, or related technical field
- At least 4 years of relevant experience in the Engineering or Construction industry
- Intermediate proficiency in MS Office tools
- Experience with Technical Document Control Management software (e.g. SharePoint, BluBeam, Unifier, Documentum EDMS, Aconex EDMS, Prolog, Procore)
- Ability to effectively communicate and collaborate with a varied audience and internal and external customers. (Communication)
- Ability to identify and resolve simple to moderate issues with the ability to provide resolution alternatives by following defined policies and procedures. (Problem Solving)
- Ability to clearly define objectives and set targets for the team that are consistent with and compliant to service delivery agreements, key performance indicators, and policies (Planning and Organizing)
- Ability to be thorough and meticulous in completing assigned tasks and identifying errors, duplicates, & discrepancies through defined methods. (Attention to Detail)
- Ability to maintain good customer relationships with the ability to suggest ways to improve customer support and customer experience (Customer Service)
