Job Summary: We are looking for a detail-oriented and dynamic Events Coordinator to join our team. The Events Coordinator will be responsible for assisting in the planning, coordination, and execution of a wide range of events including corporate meetings, conferences, weddings, social gatherings, and other special events. The ideal candidate will have strong organizational skills, excellent communication abilities, and a passion for delivering exceptional events. Key Responsibilities:
- Event Planning and Coordination: Assist in the planning and coordination of all aspects of events from initial conception to execution including venue selection, logistics, catering, audio/visual setup, and decor.
- Client Liaison: Serve as the main point of contact for clients, understanding their needs and ensuring their vision is realized. Provide regular updates and communication throughout the planning process.
- Vendor Management: Coordinate with vendors and suppliers, including negotiating contracts, scheduling, and ensuring the timely delivery of services.
- Budget Management: Assist in the preparation and management of event budgets. Track expenses and ensure events are delivered within budgetary constraints.
- Onsite Event Management: Oversee event setup, execution, and teardown. Ensure all details are in place, troubleshoot any issues that arise, and ensure a smooth, successful event experience for all attendees.
- Marketing and Promotion: Collaborate with the marketing team to develop promotional strategies for events including social media, email campaigns, and other marketing efforts.
- Post-Event Activities: Conduct post-event evaluations to gather feedback from clients, attendees, and vendors. Prepare reports on event outcomes including budget reconciliation and client satisfaction.
- Administrative Duties: Handle event-related administrative tasks including maintaining event files, managing schedules, and processing invoices and payments.
- Education: Bachelor's degree in Event Management, Hospitality, Marketing, Communications, or a related field preferred.
- Experience: Minimum of 2-3 years of experience in event planning, coordination, or a related field.
