Executive Assistant

A bit about us align.me provides outsourced B2B marketing to high-growth businesses in Australia and in many overseas markets. Our sales and marketing methodology has been used by 4000 companies worldwide (and counting). We exist to make B2B marketing a respected management science around the world. We're a fun and passionate team of driven B2B marketers who share a common purpose within an insanely supportive culture. We're all about personal learning, professional growth, and delivering high-value outcomes for our clients. We work hard and fast – but only during business hours (we have lives, too). What does the role involve? The purpose of the Executive Assistant role is to provide comprehensive administrative support to the CEO, Head of Talent and Marketing Services team, enabling the smooth running of our business and stakeholder relationships. Our culture fosters collaboration and continuous improvement. Part of your day-to-day will involve cultivating and maintaining effective working relationships with the internal team and identifying opportunities to improve work practices and processes. Ultimately, we want you to apply your unique expertise to think outside the box and deliver great results, day-in and day-out, and be willing to have some fun along the way. A day in the life:
  1. Managing the CEO's calendar, CRM and email inbox
  2. Providing support in client communications and management, including scheduling meetings for the Marketing Services team, onboarding new clients, and supporting the client exit process
  3. Manage the shared tools that support the running of our business (including project management tools, CRM, password manager, and cloud-based document platform)
  4. Support the Head of Talent with the administrative side of Talent Management, including assisting with recruitment, onboarding, engagement and offboarding processes, (e.g. managing timesheets, posting job advertisements & screening applicants, scheduling interviews, coordinating tests, and ensuring new team members are set up with all the technology and logins needed before they commence)
About you You're a great communicator and you're incredibly motivated to work hard and get seriously good at your craft. You're keen to work fast, learn lots, and of course, take pride in delivering quality outcomes for us and for our clients. You thrive in a collaborative team environment and take ownership of everything you do. You're proactive and follow through on commitments. An avid learner, you're eager to develop your skills and share your learnings with colleagues. To succeed in this role, you will need:
  1. Strong English language skills
  2. Minimum of five years' experience in an EA or similar role for a senior executive
  3. Proven responsibility for operations or administration, demonstrating commercial acumen
  4. Extensive experience with recruitment, including crafting, placing, and optimising ads, managing applicant dialogue, administering tests, and maintaining recruitment momentum
  5. Demonstrated ability to design and execute moderately complex projects
Why you should work with us You won’t learn more or grow faster anywhere. Training, development, and mentorship are core to our DNA. We invest insanely in our team members and shape their roles to capitalise on their strengths, explore their interests, and stretch them. Growth for you = growth for us = growth for our clients. You’ll be part of a very tight and dedicated team within a fun and hardworking culture. Your role will also see you (and require you to) work closely with directors, digital marketing specialists, marketing associates, salespeople, interns, specialists (copy, design, web, SEO, data) and our customers. Your opinion and initiative will always be heard, valued, and appreciated. Seriously. We listen really hard. In addition to a supportive working culture rich with learning & development, you'll enjoy:
  • Flexible, remote working arrangements
  • A day off on your birthday
  • 13th month bonus
  • Healthcare
