Position Description ESB is seeking to recruit an Admin Team Lead to support the ESB Legal team. The role is central to the service Legal provides to ESB Group and is focused on providing timely, best practice and high-quality service to Legal Managers, Solicitors and Legal Executives. We are looking for a candidate who demonstrates a strong organisational mindset, who is energised by working within a team and implementing and driving plans that optimise the work of the Legal team with the ability to adapt in accordance with business needs and who has proven experience of successfully leading teams or managing projects. The successful candidate will join the Property, Planning & Environment and Employment Law (PPEEL) team reporting to the Legal Manager of the PPEEL Team. The PPEEL Team has a strategic role in assisting the ESB Group in delivering its 2040 Net Zero Strategy. Key Responsibilities Administrative support Deliver excellent administrative support to Legal Managers, Solicitors, and Legal Executives through quality assurance and planning Team Collaboration and Workflow Management Collaborate with the Admin Team and stakeholders to establish service requirements and manage the end-to-end workflow Responsibility for your own workloads and plan and prioritize workloads, adapting resources to meet business needs Recruitment and Performance Management Oversee recruitment, onboarding, setting OKRs, and performance management for the Admin Team Financial Management Drive prompt payment of invoices, manage OTV and EFT payments, ensure compliance with CPC card processes, and maintain accurate legal spend records; assist with budget/finance issues Manage the deposit and transfer of purchase money, top up the Property Registration Authority account, and supervise the stamping of deeds and registration of leases with relevant authorities Document and Process Management Ensure proper execution and archiving of legal documents, support IT office management system implementation, and assist with BCP compliance Continuous Improvement and Issue Resolution Drive continuous improvement initiatives, provide oversight and feedback, identify opportunities, and escalate issues as needed Ensure strong evidence-based controls and documented processes are in place and regularly reviewed Event and CPD Management Organize staff events and in-house Continuous Performance Development (CPD) events, and manage the CPD tracker for solicitors. Experience and Qualifications Essential Proven experience in leading teams or managing projects to achieve goals Highly motivated with strong administrative and organizational skills for effective task prioritization and service delivery Excellent interpersonal and communication skills for effective teamwork Ability to improve processes and create efficiencies Experience working with cross-functional teams and fostering team commitment Proven ability to establish strong relationships with diverse groups Experience in a high-volume demanding & detail-oriented role Desirable Relevant 3rd level qualification or equivalent work experience Familiarity with the terminology generally used in the legal profession and the day-to-day logistical operations of a solicitors' practice Familiarity of Microsoft Office suite and experience in SAP and SRM Location This position will be based in ESB Head Office, Fitzwilliam 27, Dublin 2. The successful candidate may work flexibly within their jurisdiction with attendance at the workplace for in-person collaboration on at least one anchor day per week. All smart working arrangements are subject to manager approval and ongoing review, based on the operational requirements of the role, the team, and the individual.
