King Abdullah Petroleum Studies and Research Center (KAPSARC) Position Summary Manage admission, registration, and student services for a seamless student experience. Effectively oversee and improve the monitoring of student academic progress using the Student Information System (SIS), ensuring precise grade entry, timely resolution of student issues, and maintaining comprehensive academic records. Major Accountabilities
- Strategy and Planning Design and manage strategic academic calendars and dynamic weekly schedules for the school departments, optimizing course coordination and simplifying faculty workload distribution to enhance overall operational efficiency and academic delivery.
- Develop department performance indicators, drive the achievement of targets and continuously monitor progress toward the realization of objectives.
- Prepare and present regular reports on department progress and outputs to be shared with relevant stakeholders in line with reporting requirements.
- Quality Assurance and Accreditation Monitor the development of the program accreditation management framework to ensure alignment with accreditation standards and KAPSARC's School project requirements.
- Initiate and follow up on periodic student assessments and inspections to ensure KAPSARC's School compliance with all accreditation requirements, assess program satisfaction and effectiveness, and ensure proper maintenance and retention of data and infrastructure.
- Develop and review dashboards highlighting quality monitoring findings, identify areas for improvement, and track the implementation of corrective actions such as curriculum enhancements, instructional strategies, and student support services.
- Ensure proper detailing, documentation, and archiving of improvement initiatives to support future accreditation processes and demonstrate commitment to quality enhancement.
- Admission and Registration Identify target groups in consultation with academic and student affairs departments/programs for student recruitment and conduct visits to appropriate groups off-campus.
- Manage admission processes, ensure proper evaluation of incoming applications based on preset criteria, and facilitate communication channels with relevant candidates to complete required documentation.
- Monitor the development of academic calendars and comprehensive schedules highlighting program start dates, add-drop periods, registration deadlines, and late submissions, and ensure proper communication of calendars with relevant stakeholders.
- Compile lists of accepted, conditionally accepted, and rejected students; review and initiate communication of these lists to Academic Affairs; communicate finalized decisions to students after approval by the Standing Committee.
- Manage and supervise the billing and payment processes for students, ensuring coordination with the Finance and Accounts department.
- Review and evaluate acceptance decisions under standardized templates and ensure proper communication of decisions with applicants promptly.
- Manage communication channels to inform enrolled students about program requirements, expectations, and updates, ensuring clear and consistent messaging through various platforms.
- Oversee student management system to inform them about their academic calendar, exam schedule, etc.
- Manage the development of internal dashboards to track KPIs related to admissions and registration processes.
- Review and manage student decisions covering admissions, registration, admission deferral, course withdrawal/drop/add, termination of study, and other requests.
- Coordinate with the IT function to provide ongoing students and alumni access to the student information system for their personal and academic information, as well as the ability to conduct various online registration activities.
- Student Services Develop and implement information sessions, receptions, and orientation programs to ensure all students are familiarized with KSPP's programs, culture, policies, resources, and academic expectations, fostering a smooth integration into the educational environment.
- Act as the first point of contact for school enrollment and course inquiries, whether by telephone, email, or in person.
- Develop classes and examination schedules to prevent time conflicts in coordination with the Program Director, and ensure proper communication of course details and class allocations with relevant stakeholders.
- Oversee examination management covering but not limited to proctoring and assigning relevant resources, handling students' excuses for not attending exams or late/not submitting final research or assignments, students' grade appeals, make-up exams, etc.
- Handle students' complaints and grievances, ensuring timely resolution in line with set policies and procedures and escalate complex issues to relevant committees to decide on needed actions.
- Work with students who have applied for accommodation to determine their needs by gathering relevant information before sharing the application for further assessment.
- Manage academic administration requirements in coordination with relevant internal stakeholders, computer accounts, including student IDs, graduation ceremonies, etc.
- Admissions and Registration Management Assist in collaborating with other schools and/or departments to ensure a coordinated approach to student recruitment and retention activities.
- Coordinate and manage the admission committee, ensuring the process aligns with policies and best academic standards.
- Reporting Analyze the information and prepare reports and dashboards promptly and accurately to meet the requirements, policies, and quality standards.
- Related Assignments Perform any other duties that the organization may require to be carried out.
- Bachelor's degree in Business Administration, Information Technology, or any other related field with 4-7 years of relevant experience, OR
- Master's degree in Business Administration, Information Technology, or any other related field with 2-5 years of relevant experience.
