JOB PURPOSE Organize and manage information from vessel and line agents for the finalization of loading and discharge lists while adhering to port policies and procedures. Finalization of the vessel loading and discharging summary to be sent for invoicing. Making sure all formalities have been adhered to when vessel finalization is done. KEY ACCOUNTABILITIES

  1. Monitor the EDI file submits status screen. Ensure the files submitted with errors and rejections are resubmitted to the agent.
  2. Ensure the BAPLIE & Manifest files are processed automatically through CTMS.
  3. Ensure the files are processed, and follow up with the CTMS team for further actions.
  4. Attend to all email requests at the earliest.
  5. Check for discrepancies between the summary received from the vessel agent and loading and discharging lists received from the line agent. If any, then follow up with the respective agents to resolve discrepancies.
  6. Finalize the list of containers to be discharged & loaded after a comprehensive comparison from the input sources.
  7. Update CTMS system based on confirmation received about the status of containers.
  8. Ensure the relevant documents are archived in the appropriate vessel file (including load permits for export containers).
  9. Monitor miscellaneous service request screen and update status.
  10. Attend to agent requests for container attribute changes and update the system and inform concerned departments about the same e.g.: CFS, output, billing, etc.
  11. Submit the final list of containers to the planning department before the defined timeline.
  12. Maintain a cut-off time and ensure a hold on containers which are not able to meet the cut-off time. Inform the agent about the final list of containers.
  13. Co-ordinate with Planning and Assistant Manager (Customer Service (Liners) and Marketing) for cut-off time report.
  14. Update list transfer request and make sure related charges are applied correctly.
  15. Ensure required mapping for lines and ports for BAPLIE files are informed to the supervisor.
  16. Attend to various customer calls related to vessel documents and ensure required follow-up is done.
  17. Ensure missing UNLOC (UN port codes) are available in the system.
  18. Co-ordinate with the internal departments to resolve issues hindering the finalization of list procedure.
  19. Tally the vessel finalization document with the tally sheet before it is sent for invoicing to finance.
  20. Responsible for safety & discipline in the work area.
  21. Ensure compliance with Safe Work Practices.
  22. Ensure compliance with HSE policy.
QUALIFICATIONS, EXPERIENCE AND SKILLS
  1. Experience as data entry operator.
  2. Mandatory: 1 – 2 years.
  3. Preferable experience as clerk/data entry operator in container port terminals.
  4. Education: Higher Secondary/Secondary.
  5. Good computer operating skills.
  6. Reading and writing skills in English language.
  7. Basic reading and writing skills in Arabic language is preferred.
  8. Good communication skills.
