Job overview: The Facility Management Specialist is responsible for overseeing the maintenance, safety, and efficiency of buildings, equipment, and other facilities within the organization. This role ensures that all physical assets are well-maintained, compliant with regulations, and support the overall operations of the company. The specialist will collaborate with various departments to optimize facility functions and improve operational efficiency. Responsibilities: 1. Facility Operations & Maintenance:

  • Ensure the proper functioning of all building systems, including HVAC, electrical, plumbing, and security.
  • Coordinate regular maintenance schedules and repairs to prevent downtime.
  • Manage vendor contracts for facility-related services, such as cleaning, security, and landscaping.
  • Monitor energy usage and implement cost-effective solutions for sustainability.
2. Health, Safety, & Compliance:
  • Ensure all facilities comply with local safety and health regulations.
  • Conduct regular inspections and risk assessments to maintain a safe working environment.
  • Develop and implement emergency preparedness plans, including fire safety and evacuation procedures.
  • Maintain documentation of facility inspections, certifications, and compliance reports.
3. Space & Asset Management:
  • Optimize space utilization to enhance workplace efficiency.
  • Oversee office relocations, renovations, and expansions.
  • Track and manage facility-related assets, ensuring proper inventory control.
4. Vendor & Budget Management:
  • Develop and manage the facility budget, ensuring cost-effective operations.
  • Negotiate contracts with service providers and monitor performance.
  • Approve and track facility-related expenditures.
5. Stakeholder Coordination & Support:
  • Serve as the primary point of contact for facility-related issues and requests.
  • Collaborate with HR, IT, and operations teams to ensure a smooth work environment.
  • Address employee concerns related to workplace safety and comfort.
6. Carpentry & Civil Work:
  • Oversee carpentry and general civil work, such as repairs.
  • Ensure the maintenance of doors, windows, furniture, flooring, and other structural elements.
  • Coordinate with contractors and in-house teams for painting, plastering, and masonry work.
Requirements: Education & Experience:
  • Minimum of 3-5 years of experience in facility management or a related role.
  • Experience in healthcare, hospitality, or corporate facility management is a plus.
Skills Technical Skills & Knowledge:
  • Strong understanding of building systems, maintenance, and safety regulations.
  • Proficiency in facility management software and tools.
  • Knowledge of contract negotiation and vendor management.
  • Ability to analyze and manage facility-related budgets.
