Job Purpose Manager Pharmacies Operations will be responsible for overseeing the efficient operation of the pharmacy, ensuring proper management of inventory, staff, and compliance with policies and procedures. The role requires strong coordination with the Central Management Hub (HO) and the administration of the Combined Military Hospital (CMH), ensuring seamless pharmacy operations, timely submission of reports, and the highest standards of pharmacy practices. Role and Responsibilities

  • Supervise & monitor under close supervision and also ensure the timely submission of all Purchase Orders (POs) to the Head Office (HO).
  • Oversee the availability of all required medicines under the supervision of the MedAsk HO Pharmacies department, ensuring that stock levels are maintained.
  • Maintain regular communication with CMH administration, MOIC to address all matters related to pharmacy operations and also with CMA for clearance of pending bills.
  • Ensure dead inventory at zero and slow moving as per authorized limits.
  • Ensure timely return of expired medicines to vendors in accordance with the return policy and intimate procurement department.
  • Ensure that all pharmacy employees strictly comply with the prescribed dress code.
  • Respond promptly to any complaints raised by CMH Management or customers, coordinating with the HO as needed.
  • Maintain a high standard of cleanliness within the pharmacy.
  • Monitor and ensure the appropriate use of emergency cash in accordance with HO instructions.
  • Ensure the accuracy and correctness of financial records and accounts related to pharmacy operations.
  • Timely submission of all required reports and returns to the HO, ensuring compliance with established protocols.
  • Maintain close and effective liaison with HO staff to ensure the smooth and efficient functioning of the pharmacy.
  • Ensure that administrative tasks are performed in close coordination with the Admin department HO.
  • Ensure rental agreements are processed in time.
  • Make sure use of utility bills are economical.
  • Maintenance of Fixed asset in accordance with FAR policy.
  • Renovations / maintenance of pharmacies.
  • Ensure merits of Not Available / refusal medicines daily record and intimation to HO.
  • Ensure daily shelf audit and prepare PO requisition of N/A medicines at the end of each day.
  • Balance chits should be secured and timely clearance of all indoor & outdoor balance items.
  • Ensure timely disposal of expiry medicines and educate staff accordingly.
  • Avoid over pricing and strictly compliance by all staff members be ensured.
  • Review & process of all LP and CNE by bills timely. Follow up CRVs till credited in MedAsk account.
  • Ensure proper handing / taking over from outgoing & new employees.
  • Share disposal of theft / fraud cases with HO.
  • Responsible for all types of recovery, theft & deficit cases. Clearance will not be process of till completion of recovery.
  • Conduct daily, weekly, monthly stock taking and share the report with the HO.
  • Oversee records of all transactions of the pharmacy necessary to ensure adequate control over and accountability for all drugs as required by applicable state and federal laws, rules and regulations to meet all inspection and other requirements governing pharmacy operations.
  • To forecast and timely respond to demands in terms of variety and quantities of medicines / supplies arising out of seasonal and other factors.
  • Encourage professionalism, productivity, performance, and efficiency of all pharmacy staff.
  • Pharmacy standards (SOPs) should be followed.
  • Strive to enhance customer / patient care and satisfaction.
  • Ensure timely evaluations of pharmacy staff members, including performing annual reviews for direct reports.
  • Facilitate corrective and disciplinary actions of pharmacy staff. Confer with HO Pharmacy and other departments on all employee disciplinary actions.
  • Coordinate pharmacy employees training (initial orientation and ongoing pharmacy team member development).
  • Delegate assignments and committee appointments for pharmacy staff including protocols for pharmacy staff and provide supervision and coaching for pharmacy managers and staff.
  • Assist in creation of short and long term pharmacy strategic goals for pharmacy program development.
  • Negotiate and complete pharmacy staff contracts and credentialing of pharmacies and staff members in close coordination of HO HR team.
  • Attend management team meetings, participate in the relevant committee meetings as determined by Director Pharmacies Ops and participate in development of field operation strategies.
Qualifications and Education Requirements
  • Pharm-D with minimum 8-10 years’ experience in Healthcare Administration / Operations.
  • Administration background associated with retail pharmacy.
