Role purpose: The CEO Personal Assistant (PA) will provide high-level administrative support to the CEO by managing the day-to-day operations of the office, coordinating communication with external parties, preparing materials for the Board of Directors, and ensuring the CEO's time and priorities are efficiently managed. This role requires exceptional organizational skills, discretion, and the ability to thrive in a dynamic, fast-paced environment. KEY ACCOUNTABILITIES & ACTIVITIES Administrative Support:

Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
Handle all correspondence, including emails, phone calls, and letters, ensuring prompt and professional responses.
Prepare reports, presentations, and documents required by the CEO for internal and external meetings.
Maintain strict confidentiality of sensitive information and exercise discretion in handling all matters.

Office Management:

Act as the primary point of contact for the CEO's office, managing communication with internal teams and external stakeholders.
Oversee the smooth functioning of the CEO's office, including supplies, systems, and daily operational needs.
Coordinate and follow up on tasks and action items assigned by the CEO to ensure timely execution.
Maintain and update schedules for meeting rooms, ensuring optimal utilization.

Board & External Relations:

Prepare materials for Board of Directors meetings, including agendas, reports, and presentations.
Serve as a liaison between the CEO and the Board, ensuring clear communication and timely updates.
Manage interactions with external parties, including vendors, clients, and partners, on behalf of the CEO.
Represent Kun Sports professionally, maintaining positive relationships with operational partners, including courier services, office supply vendors, and cleaning services.

Event & Travel Coordination:

Plan and coordinate events, conferences, and official engagements for the CEO.
Track and organize courier shipments and ensure timely delivery of correspondence and materials.

Team & Operational Support:

Record minutes of internal meetings as directed by the CEO, ensuring accuracy and timely distribution.
Update and maintain all Kun Sports directories, ensuring they remain current and accessible.
Sort and organize incoming and outgoing mail on a weekly basis.

Visitor & Communication Management:

Maintain professionalism on the phone, routing calls to the appropriate individuals or departments.
Offer to take detailed and accurate messages when the appropriate contact is unavailable.

REQUIREMENTS FOR ROLE Experience & qualifications

Bachelor's degree in Business Administration, Management, or related field.
Minimum of 5 years of experience as a Personal Assistant, Executive Assistant, or similar role supporting C-level executives.
Experience in liaising with Boards of Directors and external parties is highly desirable.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Familiarity with corporate governance and Saudi Arabian business culture is a plus.

Knowledge & skills Exceptional Communication Skills :

Excellent verbal and written communication in English & Arabic

Strong Organizational Skills:

Ability to manage multiple priorities, meet deadlines, and maintain attention to detail.

Professionalism & Confidentiality:

High degree of discretion and integrity in handling sensitive information.

Interpersonal Skills:

Ability to build strong relationships with internal and external stakeholders.

Problem-Solving Skills:

Proactive and resourceful in resolving challenges.
