Job Title: Executive Assistant / Bookkeeper Location : Remote (PH) Salary : $1,000 - $1,200 /month Working Hours: 9am - 5pm CST with availability after hours when needed is required. About the Company: We are a dynamic startup currently entering our capital raise phase. As we expand our executive team, which includes the CEO, COO, CMO, CTO, and lead engineer, we are seeking an organized, detail-oriented Executive Assistant / Bookkeeper to provide critical administrative and financial support. This is an exciting opportunity to join a fast-paced environment and make a significant impact during a key growth phase. Role Overview: We are looking for an experienced Executive Assistant (EA) with a strong background in bookkeeping to support our executive team. This hybrid role involves both high-level administrative duties and financial management, ensuring the smooth operation of the executive office while maintaining accuracy in financial documentation. The ideal candidate will have excellent English communication skills, experience working in a remote capacity, and the ability to manage both client-facing and internal tasks. Key Responsibilities:
- Executive Assistance:
- Manage time, schedules, and appointments for the CEO and executive team.
- Handle internal and external communication, including emails, calls, and meeting coordination.
- Support content calendar management and assist with day-to-day operations.
- Organize and prioritize tasks to ensure executives are fully prepared for meetings and deadlines.
- Bookkeeping and Financial Support:
- Perform basic bookkeeping tasks such as managing expense reports, invoicing, and categorizing transactions.
- Ensure accurate financial records are maintained, supporting the company's ongoing financial organization.
- Assist with budgeting and financial reports as needed.
- Client-Facing Responsibilities:
- Serve as a point of contact for clients, maintaining professionalism and clear communication in both written and verbal interactions.
- Prepare meeting materials and documentation for client meetings.
- Time Zone Collaboration:
- Ensure 2-3 hours of overlap with Central Time Zone (CST) for smooth communication and task handoff.
- Be available for timely responses and task execution during overlapping work hours.
- Experience: Minimum 3-4 years of combined experience in executive assistance and bookkeeping, ideally in a remote role.
- Skills:
- Strong English proficiency (written and spoken).
- Excellent time management and organizational skills.
- Experience managing calendars, communications, and client-facing tasks.
- Basic understanding of bookkeeping and financial processes (experience with tools like QuickBooks or similar is a plus).
- Availability: Full-time, with stable work history and the ability to work effectively in a remote, asynchronous environment.
