Roles and Responsibilities
We are currently seeking passionate and dynamic Sales professionals who pride themselves on their ability to deliver extraordinary levels of customer service and provide creative solutions to our guests. As a Sales Coordinator, you are responsible for handling all the administrative requirements of the sales office. Your role involves maintaining an organized, systematic, and updated filing system to ensure easy accessibility to required data and prevent loss of data. Key responsibilities include:- Prepare and type sales team’s offer letters, update the sales database system, and ensure it is reviewed and properly checked before handing it for signature.
- Compose letters, memos, faxes, and other mail on behalf of the Director of Sales and other executives.
- Maintain a prompt and accurate follow-up and trace system for all correspondences.
- Handle all incoming calls and guest inquiries in the absence of the sales team and channel them to the concerned party if immediate action is required.
- Ensure that the sales month-end report is accomplished and submitted on time.
- Ensure that all correspondence and offers related to the sales team go out within a maximum of 24 hours.
- Communicate effectively at all levels, dealing with various administrative demands in a pressurized working environment.

Key Responsibilities- Sales Support :
- Provide administrative assistance to the sales team by preparing sales materials, reports, and proposals.
- Coordinate and track sales activities, such as follow-ups on leads and managing customer inquiries.
- Assist in scheduling meetings and sales presentations for the sales team.
- Handle customer inquiries and provide product or service information.
- Client Relationship Management :
- Maintain and update customer databases to ensure accurate contact information and sales history.
- Assist in responding to client queries, addressing their needs, and facilitating communication between the client and the sales team.
- Support the sales team by ensuring that client orders are processed correctly and on time.
- Order Processing :
- Coordinate order processing, ensuring that all orders are accurate, timely, and properly documented.

- Assist in preparing and managing sales quotations, contracts, and other necessary documentation.
- Sales Reporting :
- Prepare and maintain accurate sales reports and track key performance metrics, including sales progress and client activities.
- Monitor sales performance against targets and provide insights or suggestions for improvement.
- Analyze customer feedback and market trends to identify opportunities for sales growth.
- Event Coordination :
- Assist in organizing and coordinating sales events, trade shows, and customer meetings.
- Prepare marketing and promotional materials for events and presentations.
- Manage event logistics, including booking venues, coordinating schedules, and ensuring all materials are ready.
- Communication and Coordination :
- Serve as the primary point of contact between the sales team and other departments, ensuring effective communication across the organization.
- Coordinate with marketing teams to align sales and promotional strategies.
- Support the sales team by ensuring that necessary resources, tools, and information are available.
- Inventory and Stock Management :
- Monitor inventory levels and assist in managing stock to ensure that products are available to meet client demand.
- Work with the logistics or warehouse team to track product availability and delivery schedules.
- Assist in maintaining accurate records of inventory, stock levels, and product distribution.
- Customer Relationship Management (CRM) :
- Use CRM software to manage client relationships, track interactions, and ensure follow-ups are scheduled.
- Ensure that customer data is kept up to date and that all relevant information is logged in the system for easy access by the sales team.
