Permanent - Events Coordinator - Ekurhuleni (East Rand) - South Africa

  • Work closely with clients to understand their event objectives, preferences, and budget constraints.
  • Develop comprehensive event plans, including timelines, budgets, and logistical details.
  • Coordinate all aspects of event execution, such as venue selection, catering, entertainment, audiovisual setup, and transportation.
  • Oversee on-site event management, ensuring everything runs smoothly and according to plan.
Vendor and Supplier Management:
  • Source and negotiate contracts with vendors and suppliers, such as florists, decorators, and AV technicians.
  • Manage vendor relationships, ensuring timely delivery of services and adherence to quality standards.
  • Obtain necessary permits and licenses for events, as required.
Budget Management:
  • Create and maintain event budgets, tracking expenses and ensuring adherence to financial guidelines.
  • Identify cost-saving opportunities and negotiate favorable terms with vendors to maximise budget efficiency.
Client Communication and Relationship Management:
  • Serve as the primary point of contact for clients throughout the event planning process.
  • Provide regular updates and progress reports to clients, addressing any concerns or inquiries promptly.
  • Foster strong client relationships through exceptional service and attention to detail.
Post-Event Evaluation:
  • Conduct post-event evaluations to assess the success of each event and gather feedback from clients and attendees.
  • Identify areas for improvement and implement enhancements for future events based on feedback and lessons learned.
  • Bachelor's degree in Event Management, Hospitality, Marketing, or a related field preferred.
  • Proven experience in event planning and coordination, with a portfolio of successful events.
  • Excellent organisational and time management skills, with the ability to manage multiple projects simultaneously.
  • Strong interpersonal and communication skills, with a customer-centric approach.
  • Detail-oriented mindset with a focus on delivering high-quality, memorable events.
  • Proficiency in event management software and Microsoft Office suite.
  • Ability to work well under pressure and adapt to changing priorities in a fast-paced environment.
  • Creativity and resourcefulness in problem-solving and idea generation.
