The HR Executive is an HR generalist role who is responsible for various HR functions, including but not limited to onboarding, employee relations and engagement, payroll, and other HR administrative tasks. This role has a support the other HR team members in ensuring positive work environment while ensuring compliance with company policies and legal regulations. Responsibilities:
- Serve as a point of contact for employee inquiries and concerns related to HR general matters, providing timely and effective resolutions. Support other HR team members in communicating between employees and management to address employee concerns.
- Execute end-to-end payroll processing for all employees, including salary calculations, deductions, and other compensation elements. Generate and submit reports related to payroll and HR budget and costing to finance and HR management.
- Administering various employee benefits programs, such as medical insurance, air fare allowance, educational allowance, UAEN pension and other benefits as part of the employee compensation package.
- Support the Recruitment Team during the onboarding process, including preparation of employment offer and employment contract, security clearance and background checks, visa processing, medical insurance registration and pension registration for UAEN and GCC residents.
- Coordinate new employee onboarding activities, including orientation sessions, completion of necessary paperwork and communication with other departments such as IT and administration.
- Responsible for processing and renewing Visa for all employees. Coordinate with government authorities, when necessary.
- Support HR projects and initiatives as assigned. Coordinate logistics for events, such as training sessions, workshops, and employee engagement activities. This involves booking venues, arranging catering, coordinating with external vendors, and coordinating attendance.
- Maintain accurate and up-to-date employee records, including personnel files, attendance records, and HR databases. Maintain both hard and digital copies of employees records. Prepare HR-related reports and analytics for management review.
- Responsible for processing procurement requests and invoices for any related HR requirements. This involves verifying the accuracy of the quotations and invoices, ensuring that the goods or services have been received or rendered as per the agreement, and obtaining necessary approvals for payment. Responsible in maintaining and monitoring petty cash, submitting necessary reports Finance Team.
- Assist in managing the VP of HR's schedule and calendar. Coordinate HR meetings, including circulating meeting invites and agenda and arrangements of meeting venue.
- Process the end of service benefits for departing employees. Assist them with any questions related to benefits. Responsible in cancelling residence visa and booking repatriation ticket (if required).
- Ensure compliance with relevant employment laws and regulations. Stay updated on changes in employment laws and best practices to ensure adherence to legal and audit requirements.
- Bachelor's Degree in Human Resources, Business Administration, or related field.
- Any post-Graduate Certification (e.g., HR related or Administration) is a plus.
- 4-5 Years of experience in HR generalist or Administrative role.
- Experience in implementing HR Information system such as Oracle.
- Understanding of labor laws, regulations, and compliance requirements relevant to HR operations, including employment contracts, wage and hour laws, etc.
- Proficiency in MS Office applications, especially Word, Excel, and PowerPoint.
