Key Responsibilities:
1. General Office Support:
- Answer and direct phone calls, take messages, and handle inquiries.
- Greet visitors and provide them with necessary information.
- Organize and schedule meetings and appointments.
- Maintain office supplies and order new stock as necessary.
- Perform clerical duties such as photocopying, scanning, and faxing documents.
- Draft, format, and proofread correspondence, reports, and other documents.
- Handle email correspondence and maintain an organized email inbox.
- Assist with internal and external communications, ensuring timely and accurate information flow.
- Maintain and update company databases, records, and files.
- Assist with data entry and ensure information is properly stored and organized.
- Help prepare reports and presentations as requested.
- Manage calendars and schedule appointments for managers or teams.
- Coordinate meetings, events, and travel arrangements.
- Assist in preparing agendas and materials for meetings.
- Ensure the office environment is clean, organized, and conducive to productivity.
- Help implement office policies and procedures.
- Assist with organizing office events or team-building activities.
Education: High school diploma or equivalent; an associate’s or bachelor’s degree in business administration or related field preferred.
Experience: Previous experience in an administrative role is a plus (1–2 years preferred).
Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational skills and ability to multitask.
- Excellent written and verbal communication skills.
- Attention to detail and ability to manage time effectively.
- Ability to work independently and as part of a team.
- Basic knowledge of office equipment (e.g., printers, fax machines).
