Position Overview: We are seeking an experienced and strategic Parts Sourcing and Planning Supervisor/Manager to manage the end-to-end procurement and planning of automotive parts for our workshop. This role involves building and maintaining strong relationships with Original Equipment Manufacturers (OEMs) and suppliers, ensuring timely availability of quality parts to support seamless workshop operations. The ideal candidate will demonstrate expertise in supply chain management, vendor negotiations, and inventory optimization with a solid understanding of the automotive industry. Key Responsibilities:

  1. Parts Sourcing and Vendor Management:
    1. Identify, evaluate, and establish relationships with OEMs and suppliers.
    2. Negotiate pricing, contracts, and terms with suppliers to ensure cost-efficient procurement.
    3. Ensure that all parts meet quality and compliance standards set by the workshop and regulatory bodies.
  2. Procurement Operations:
    1. Process purchase orders and track shipments to ensure timely delivery.
    2. Address issues related to delayed shipments, quality discrepancies, or incorrect deliveries.
    3. Maintain an updated database of approved suppliers and parts catalogues.
  3. Inventory Planning and Management:
    1. Develop and implement strategies for maintaining optimal stock levels of frequently used parts.
    2. Monitor and control inventory to minimize excess stock and obsolescence.
    3. Conduct regular stock audits and resolve discrepancies.
  4. Demand Forecasting and Planning:
    1. Collaborate with workshop managers to forecast parts requirements based on historical data, seasonal trends, and upcoming projects.
    2. Use analytical tools to predict demand accurately and mitigate supply chain disruptions.
  5. Vendor Compliance and Relationship Management:
    1. Ensure suppliers meet contractual obligations, including quality standards and delivery timelines.
    2. Foster strong relationships with key OEMs and suppliers for long-term partnerships.
    3. Manage supplier performance reviews and recommend improvements or replacements as necessary.
  6. Cost Optimization:
    1. Identify cost-saving opportunities while maintaining quality standards.
    2. Implement value analysis and alternative sourcing strategies when possible.
    3. Regularly review supplier pricing against market benchmarks.
  7. Reporting and Analytics:
    1. Prepare regular reports on procurement performance, stock levels, and sourcing strategies.
    2. Track KPIs such as lead times, procurement costs, and supplier performance metrics.
    3. Use data insights to make informed decisions and improve operational efficiency.
  8. Collaboration and Team Leadership:
    1. Coordinate with workshop supervisors to ensure the timely availability of critical parts.
    2. Lead and mentor a team of sourcing and inventory staff, providing guidance on best practices and professional development.
    3. Serve as a key point of contact between the workshop, suppliers, and OEMs.
Qualifications:
  1. Bachelor's degree in Supply Chain Management, Mechanical Engineering, Business Administration, or a related field.
  2. Minimum 8 years of experience in parts sourcing, procurement, or supply chain management, preferably in the automotive or workshop industry.
  3. Knowledge of OEM procurement processes and international trade practices.
  4. Comprehensive understanding of warehousing setup to plan and action.
  5. Proficient in using ERP systems, demand planning tools, and supply chain analytics.
  6. Strong negotiation skills with OEMs and suppliers.
  7. Proven ability to establish and optimize sourcing and planning operations.
  8. Analytical mindset with excellent organizational and problem-solving skills.
