We are seeking a highly organized and detail-oriented Legal Secretary to support our legal team. The Legal Secretary will be responsible for providing administrative support, preparing legal documents, managing correspondence, and maintaining records in a professional manner. The ideal candidate will have a working knowledge of legal processes and terminology, excellent communication skills, and the ability to handle confidential information.
Key Responsibilities:
- Administrative Support:
- Provide administrative support to attorneys, including scheduling appointments, coordinating meetings, and managing calendars.
- Handle phone calls, emails, and correspondence for the legal team.
- Maintain and organize physical and digital files for easy retrieval.
- Document Preparation:
- Draft, format, and proofread legal documents such as contracts, briefs, pleadings, and agreements.
- Assist with preparing legal filings and submissions to courts, clients, and regulatory agencies.
- Maintain document version control and update as necessary.
- Meeting Support:
- Record and prepare detailed minutes of meetings, ensuring professional and accurate documentation.
- Assist in preparing agendas, presentations, and reports for meetings and hearings.
- Follow up on action items and tasks from meetings.
- Legal Research & Compliance:
- Conduct basic legal research, under attorney supervision, to gather relevant case laws, statutes, or regulations.
- Ensure legal documents comply with legal requirements and company policies.
- Assist with compliance tracking and filings for regulatory deadlines.
- Client & Case Management:
- Communicate with clients, courts, and other legal professionals regarding case matters and scheduling.
- Manage and organize case files, maintaining confidentiality and security of sensitive information.
- Monitor case deadlines and ensure timely filings and actions.
- Billing & Financials:
- Assist in managing billing records, including tracking time and expenses for legal team members.
- Liaise with finance team to ensure prompt processing of invoices and payments related to legal services.
Qualifications:
- Education: Diploma or degree in Law, Legal Studies, or a related field is preferred.
- Experience: Minimum of 5 years’ experience in UAE as a legal secretary, paralegal, or in a similar administrative role within a law firm or corporate legal department.
- Skills:
- Strong understanding of legal terminology and processes.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and legal case management software.
- Excellent organizational and time management skills with attention to detail.
- Superior written and verbal communication skills.
- Ability to work under pressure, prioritize tasks, and meet deadlines.
