Job Summary As the Head of Operations at Hapana, you will be a key leader responsible for driving operational efficiency, scalability, and process excellence. You will work closely with senior leadership and cross-functional teams to ensure the business runs smoothly, tactically aligning day-to-day operations with our broader strategic goals. This is an exciting opportunity to become the leader of a brand new department, building out the function and team, shaping company-wide processes, and facilitating communication across departments and geographies. You’ll have a meaningful impact during a phase of rapid growth and to shape the future of our operations and business. Key Responsibilities: Design and implement scalable operational strategies that align with Hapana’s growth objectives. Partner with senior leadership to set and measure KPIs for operational excellence. Translate long-term vision into executable operational plans. Analyse current processes to identify bottlenecks and opportunities for optimisation. Lead cross-departmental initiatives to streamline workflows and improve collaboration. Implement best practices in operational management to enhance productivity and resource allocation. Build and lead a high-performing Operations team by hiring, mentoring, and developing talent. Foster a culture of ownership, innovation, and accountability within the team. Be a leader that builds trust and cultivates strong relationships across all levels of the organisation Oversee operational systems, tools, and platforms, ensuring they support growth and provide actionable insights. Identify and mitigate operational risks, ensuring all processes are compliant with relevant regulations. Manage vendor contracts and relationships to ensure cost efficiency and quality service delivery. Qualifications: 8+ years of startup/scaleup experience in operations leadership roles. Past experience in a Saa S or technology company preferably with a headcount of 100-250. Proven success in scaling operations and driving process improvement during high-growth phases. Strong strategic mindset with the ability to balance big-picture thinking and operational detail. Data-driven approach to problem-solving and decision-making (an analyst background would be beneficial) Strong skills and experience in process automation software integrations (eg. Zapier, API) Exceptional leadership, communication, and stakeholder management skills. Proficiency in operations-related platforms (e.g. Notion, Hubspot, Panda Docs, Atlassian, Monday, Quickbooks, Fathom, etc). Background in global operations with a distributed workforce.
