Role Overview:

We are looking for a highly organised and proactive Executive Assistant (EA) to provide support in managing documentation, research, scheduling, and communication. This role requires someone who excels in organisation, has a keen eye for detail, and can streamline processes to make operations more efficient.

Key Responsibilities:

  • Documentation and Organisation : Create, update, and maintain documentation; implement systems that are intuitive and accessible for the team.
  • Meeting Support : Join calls, review AI-generated meeting notes, and extract action points for follow-up by the team and myself.
  • Calendar Management : Maintain my calendar, ensuring all tasks, deadlines, and priorities are accounted for and reminders are in place.
  • Research : Conduct detailed travel research to support the development of new trips, including logistics, accommodations, and activities.
  • Task Preparation : Prepare professional documents using templates, ensuring accuracy and a polished presentation.
  • Process Improvement : Identify and implement ways to streamline workflows, ensuring the team operates more efficiently.
  • Email Management : Respond to emails promptly and professionally, managing correspondence with external partners and internal teams.
  • Expense Management : Reconcile expenses in Xero and maintain accurate records.
  • General Administration : Provide general administrative support, including scheduling, organising files, and managing ad hoc requests.

Requirements:

  • Experience in Account Management : Act as the main point of contact for partnerships and external businesses, ensuring timely responses and clear communication.
  • High Attention to Detail : Ability to produce error-free work and spot inconsistencies in documentation and processes.
  • Highly Organised : Capable of managing multiple tasks and priorities simultaneously while maintaining clarity and focus.
  • Systems Thinker : Skilled in creating effective organisational systems, particularly tailored for individuals with ADHD, to simplify workflows and improve accessibility.
  • Proactive Approach : Anticipate needs and upcoming deadlines, providing solutions and support without needing direction.
  • Tech-Savvy : Familiarity with tools like Xero, calendar management software, AI meeting notes tools, and collaborative platforms.
  • Strong Communication Skills : Excellent written and verbal communication to liaise effectively with team members and external partners.
