Senior Executive Assistant Senior Executive Assistant – Work From Home Opportunity Are you an organisational guru with a passion for supporting senior leaders? ShareSorted is seeking a dedicated Senior Executive Assistant to work remotely, providing exceptional administrative support to our senior manager and, at times, our leadership team. This role is pivotal in ensuring the senior manager’s time is optimised and business operations run seamlessly. Your Role at a Glance As the Executive Assistant, your primary focus will be managing 100% of the senior ShareSorted manager’s inbox, calendar, and calls. You will be their go-to person, ensuring they are prepared, informed, and ready to tackle their responsibilities. Additionally, you will oversee workflows and approval management using Process Street and other tools, helping streamline operations and maintain efficiency. Key Responsibilities Email Management: Read and organise all the senior ShareSorted manager’s emails, directing them to the correct person for action. Summarise key items in a single email for the senior ShareSorted manager, seek feedback, and implement actions. Draft email responses in the senior ShareSorted manager’s tone for sign-off. Maintain organised email folders for efficient access. Workflow & Approval Management: Create and manage workflows using Process Street to track and streamline approvals. Monitor progress on tasks requiring approval and follow up to ensure timely completion. Collaborate with the leadership team to implement workflow improvements. Calendar & Scheduling: Manage the senior ShareSorted manager’s diary, including scheduling, rescheduling, and optimising their time. Proactively guide the senior ShareSorted manager to make the best use of their EA. Meetings & Documentation: Organise and moderate meetings. Prepare agendas, take minutes, and follow up on action items. Collate meeting papers and ensure readiness for discussions. Travel Coordination: Organise comprehensive travel plans, including flights, hotels, transport, and restaurant bookings. Administration: Manage expenses, generate reports, and update systems. Organise cloud folders for easy document access. System Knowledge While not essential, familiarity with the following systems is highly desirable: Microsoft Products: Outlook, Word, Excel, and Teams. Process Street: Workflow management software. EmploymentHero: HR software. Adobe Sign: Digital signature software. PropertyMe: Property management software. Experience in Australian property management is particularly valuable and will be considered a strong asset for this role Your Qualifications Bachelor’s degree in a relevant field. 3+ years’ experience as an Executive Assistant or similar roles (e.g., Events Assistant, Admin Assistant, or Project Assistant). Proven success in proactively managing an executive’s diary and calendar. Strong organisational and time management skills. High attention to detail and the ability to work independently.
