Overall responsibilities:
- Assist in various project main contracts, subcontracts, and PO terms, performing the scope of work as defined for the role, and provide day-to-day assistance to the Head of Projects while functionally coordinating with the Contracts Manager.
- Manage and ensure all pre- and post-subcontract administration documentation, including insurances, bonds, claims, and variation notices. Assist the Project Managers in preparation of Claim/EOT/Variation notices and cost particulars.
- Draft letters for claims and time extensions, ensuring timely submission of variation and claim notices to reserve the contractual rights with the Client.
- Coordinate and compile the documents received from Proposals & Estimation, Sales, Procurement, and Project execution teams for LOA/LOI/Subcontract preparation, and participate in negotiations meetings as required.
- Liaise with subcontractors for execution of LOA/LOI/Subcontracts.
- Ensure high-quality documentation is conducted on time, taking responsibility and maintaining confidentiality.
- Raise the bonds and insurance documents as required by the main contract and follow up with the Finance Department.
- Maintain bonds and insurance registers, prepare draft notices to the client for submission and release of bonds.
- Maintain bonds and insurance registers for subcontractors, prepare documents for necessary amendments or release of bonds, and ensure compliance with contract and subcontract requirements.
- Maintain registers of main contract and subcontract timelines, following up with project execution teams for necessary notices to be submitted for EOT and delay notices to subcontractors.
- Review requests for variations and EOTs from subcontractors, making contractual recommendations for the approval process.
- Draft letters related to claims, time extension, variation orders, and completion certificates.
- Work closely with Project Managers/HODs, Planning team, and Sr. Project Engineers in preparation of Claim/EOT/Variation notices and cost particulars.
- Maintain registers of variations, cost claims, and EOT of main contracts and subcontracts.
- Endorse subcontractor payment certificates upon compliance with insurance and bond requirements.
- Prepare monthly reports in relation to the contracts.
- Attend main contract kickoff meetings and arrange kickoff meetings with subcontractors, recording minutes.
- Perform and attend any additional duties and responsibilities as assigned by the Contracts Manager.
- Apply project insurances for plant, machinery, equipment, and vehicles as required by the main contract, ensuring subcontractors secure necessary insurances to mitigate risks.
- Assist the Head of Projects and Contracts Manager in developing procedures for Contracts change management, perform document control tasks, and participate in audits as required.
- Train new graduates and Emirati employees in the organization.
- Minimum Bachelor Degree in Engineering with 5-6 years minimum experience in the Oil & Gas industry. Familiarity with Engineering Procurement Construction and Contracting aspects in both onshore and offshore power & utility sectors.
