With 2 manufacturing sites, one in North Cork and an international manufacturing operation, its products are in a niche area (you are most likely going to use their products within a week of reading this advert). Your new role There are a number of aspects to this job, incorporating Finance, Customer Service, and Order Fulfilment. Don't worry, training will be provided to bring you up to speed. Accounts Department:

  1. Financial Data Management: Record purchase invoices. Assist in preparing product costs and pricing. Contribute to annual budget and cash flow forecasts.
  2. Stock Monitoring: Collaborate with the Production & Operations Manager to monitor stock items.
  3. Bank Transactions and Reconciliation: Record all bank transactions, including payments and receipts. Conduct reconciliations.
  4. Customer Financial Relations: Send out customer statements. Follow up with Aged Accounts Receivable on a monthly basis.
  5. Collaboration with Management Accountant: Coordinate with the Management Accountant to prepare R&D Tax Credits. Calculate sales commissions.
  6. Payment Processing: Upload payments and authorise transactions.
Customer Service Department:
  1. Order Fulfillment Management: Collaborate with the Managing Director and Production & Operations Manager to ensure that all accepted orders align with manufacturing and supply capabilities. Coordinate the receipt and acceptance of sales orders. Manage relevant documentation related to sales orders and shipping.
  2. Customer Service Coordination: Work closely with the Sales Support Manager and Administration Officer to streamline customer service processes. Prepare customer order documentation in collaboration with the QA Manager and Technical & Quality Technologists.
  3. Shipping and Communication: Create the weekly shipping schedule. Coordinate the shipping of sales orders. Issue certificates of analysis. Proactively inform customers about the progress of their orders and address any shipping-related issues. Participate in investigations related to customer complaints.
  4. Administrative Duties: Handle administrative tasks related to stationery, computer systems, and telephone systems. Maintain records in accordance with the Quality Management System (QMS). Prepare and issue sales invoices.

Good communication skills are critical as you will deal both internally within the business and externally with customers, suppliers, and logistics providers.
