Executive Assistant to Chief Executive Officer

The ideal candidate for this position will excel if they can keep their calm in a high pressure environment coordinating the logistics of the CEO of the company. The candidate should have some relevant experience to the role that highlights their capability to conduct all administrative work, making sure the CEO's operations run smoothly. Thus, the candidate should be detail oriented and a creative problem solver.  Key Responsibilities:
- Calendar & Schedule Management:
- Coordinate and manage the executive's calendar, including scheduling meetings, appointments, and travel arrangements.
- Prioritize and resolve scheduling conflicts as they arise.
- Ensure the executive is prepared for meetings, with agendas, documents, and other relevant materials.
- Communication Management:
- Act as the primary point of contact between the executive and internal/external stakeholders.
- Screen, manage, and respond to phone calls, emails, and other correspondence on behalf of the executive.
- Draft, proofread, and edit correspondence, presentations, and reports.
- Travel & Logistics Coordination:
- Organize domestic and international travel arrangements, including flights, accommodations, transportation, and itineraries.
- Prepare travel expense reports and ensure timely reimbursement.
- Meeting & Event Coordination:
- Plan and coordinate meetings, conferences, and events (both internal and external), including venue selection, materials preparation, and catering.
- Take meeting minutes and ensure follow-up on action items.
- Project Assistance:
- Assist with special projects, including research, preparation of presentations, and reporting.
- Track progress on key initiatives and help with timely execution.
- Office Management & Supplies:
- Maintain an organized workspace and ensure the executive has necessary resources.
- Order and manage office supplies, equipment, and services.
- Confidentiality & Discretion:
- Handle sensitive and confidential information with the utmost discretion and integrity.
- Maintain professionalism in all interactions on behalf of the executive.
- General Administrative Support:
- Provide day-to-day administrative support, including filing, document management, and other clerical duties.
- Assist with personal tasks or errands for the executive, when necessary.
- Education: Â Bachelor's degree or equivalent work experience (preferred).
