We are seeking a highly organized and proactive individual to join our remote team and support the CEO in day-to-day operations. Role Summary As the Executive Assistant , you will play a critical role in managing the CEO’s schedule, coordinating property-related tasks, and facilitating communication across various channels. This position is fully remote , requiring strong self-discipline, excellent communication skills, and an ability to thrive in a fast-paced real estate environment. Key Responsibilities 1. Calendar & Email Management • Organize and maintain the CEO’s schedule, including client meetings, property showings, vendor calls, and personal appointments. • Screen and prioritize emails; draft responses or delegate tasks as appropriate. 2. Property Coordination • Communicate with property managers, tenants, and vendors to handle maintenance requests, inspections, and other property-related matters. • Track lease renewals, new listings, rental payments, and other property workflows. 3. Research & Reporting • Conduct market research and compile insights on property trends, rental rates, and potential investment opportunities. • Prepare weekly and monthly status reports for the CEO, highlighting key metrics and upcoming deadlines. 4. Document & File Management • Maintain organized digital files (lease agreements, vendor contracts, closing documents) in secure cloud-based systems. • Ensure easy retrieval and proper version control for all property and business documents. 5. Communication & Relationship Management • Serve as the point of contact between the CEO, clients, and internal teams. • Screen and handle inquiries, follow up on pending tasks, and ensure smooth collaboration across departments. 6. Travel & Event Logistics • Arrange travel itineraries for site visits or conferences. • Coordinate offsite events or company gatherings when required. 7. General Administrative Support • Assist with invoice tracking, expense reporting, and bookkeeping tasks (in coordination with the finance team). • Perform ad-hoc duties to streamline the CEO’s daily workload (e.g., ordering supplies, handling business errands where applicable). Qualifications Experience & Interest : Background in administrative or executive support. Experience in property management or real estate is a plus but not mandatory. • Organizational Skills : Ability to manage multiple tasks and deadlines; comfortable prioritizing in a fast-paced setting. • Excellent Communication : Fluent in spoken and written English; able to communicate clearly with property managers, tenants, and stakeholders. • Tech Savvy : Comfortable using tools like Notion, Todoist and Meta Suite. • Adaptable & Proactive : Ability to anticipate needs, respond quickly, and troubleshoot issues effectively. • Reliable Internet & Workspace : Must have a dedicated workspace and dependable internet connection to ensure uninterrupted communication and task execution.
