We are seeking a detail-oriented and skilled Real Estate Administrator with 1-2 years of experience in the real estate industry. The ideal candidate will play a key role in managing the administrative operations of our business, ensuring compliance with regulatory standards, supporting the sales team, and facilitating smooth day-to-day operations. Key Responsibilities:

Administrative Support:
  1. Supervise and manage all administrative functions within the brokerage.
  2. Ensure accurate property listing updates on multiple portals, maintaining up-to-date records.
  3. Assist agents with preparing and submitting documentation (e.g., contracts, Form A/B/U, etc.).
  4. Prepare and distribute sales and rental contracts, invoices, and related paperwork.
Client and Team Coordination:
  1. Act as the primary contact for clients regarding documentation and follow-ups.
  2. Support the team by scheduling meetings, viewings, and managing follow-up tasks.
  3. Ensure smooth communication between agents, clients, and management.
Compliance and Regulation:
  1. Ensure all documentation aligns with RERA and Dubai Land Department (DLD) regulations.
  2. Assist with registering transactions through platforms like Dubai REST and Trakheesi for necessary permits.
  3. Organize and maintain filing systems for contracts, agreements, and other legal documents.
Reporting and Data Management:
  1. Prepare regular reports on sales, leads, and team performance for management.
  2. Monitor and update CRM systems to ensure accurate data.
  3. Maintain confidentiality of sensitive client and company information.
Marketing Support:
  1. Collaborate with marketing teams to create promotional materials such as property listings, social media posts, and email campaigns.
  2. Ensure proper updates and listing of properties on platforms like Property Finder and Bayut.
Office Management:
  1. Oversee office supplies, stationery, and general office maintenance.
  2. Organize team events, training sessions, and internal meetings.
  3. Address administrative inquiries from team members promptly.

Qualifications:

Education and Experience:
  1. Bachelor’s degree in Business Administration or related field (preferred).
  2. A minimum of 1-2 years of experience as an administrator in the real estate or brokerage sector in Dubai.
Skills and Competencies:
  1. Extensive knowledge of Dubai Land Department (DLD) and RERA procedures.
  2. Familiarity with CRM systems and real estate platforms such as Property Finder, Bayut, and Trakheesi.
  3. Excellent organizational skills, with the ability to juggle multiple tasks with precision.
  4. Strong communication skills in English (Arabic is a plus).
  5. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and real estate software.
  6. Ability to perform well under pressure and meet deadlines.
  7. Self-motivated, proactive, and reliable.
  8. Strong team player with excellent interpersonal skills.
  9. A high level of professionalism and integrity.
