We are currently seeking a dedicated and resourceful individual to join our innovative team in our Montreal office as the Educational Programs & Partnerships Coordinator . This full-time position (40 hours/week) reports directly to the Director of Planning. The ideal candidate will be detail-oriented, highly organized, and skilled in communication, with the ability to research, interview, and hire exceptional instructors while nurturing valuable educational partnerships. This individual will thrive in a collaborative team environment, excel at managing competing priorities, and demonstrate exceptional follow-through to ensure program success. What will you do? Instructor Management:
- Research, interview, hire, and retain qualified instructors for various programs.
- Collaborate with summer teams to provide detailed information and resources necessary to manage hired instructors effectively.
- Develop and implement strategies to ensure high instructor satisfaction and retention.
- Identify, cultivate, and maintain partnerships with educational institutions and organizations.
- Act as the primary liaison for internal and external stakeholders, ensuring strong and mutually beneficial relationships.
- Oversee the planning, organization, and execution of courses, ensuring alignment with organizational objectives.
- Collaborate with colleagues to manage timelines, logistics, and resource allocation for all programs.
- Ensure all courses are planned with detailed follow-up for seamless delivery.
- Assist with research, planning, and reservations across various program elements such as recreational activities, transportation, and accommodations.
- Produce financial projections for planned programs and audit final expenditures.
- Handle communication and contracting with local and international suppliers to ensure smooth operations.
- Audit print and web copies of planned itineraries and correspondence to ensure accuracy and consistency.
- Maintain up-to-date records and meticulous notes in organizational databases.
- Collaborate with the Director of Planning, Product Managers, and Program Coordinators on cross-functional projects.
- Stay informed on trends in education, travel, and current events to enhance program relevance and quality.
- Adapt to a flexible work schedule, particularly during peak summer months.
- Complete additional duties as assigned.
- University degree.
- Strong organizational skills with the ability to prioritize and manage multiple work streams.
- Proficiency in MS Office and adaptability to learn new platforms (training provided).
- Exceptional written and verbal communication skills in English.
- Demonstrated ability to take initiative, work autonomously, and collaborate effectively with internal and external partners.
- Strong attention to detail and ability to meet deadlines.
- Previous experience in education, travel planning, or event coordination.
- Financial and analytical skills, including experience with budgeting and forecasting.
- Familiarity with tools such as Salesforce, Concur, and Google Drive.
- International travel experience.
- Fluency in French, Spanish, or Italian.
