Position Summary: The Administrative Assistant will be responsible for providing comprehensive administrative support to ensure the efficient operation of the office. This role includes managing day-to-day administrative tasks, basic accounting functions, and assisting with HR-related activities. The ideal candidate will be a proactive and reliable individual with excellent communication skills and a knack for multitasking. Key Responsibilities: Administrative Duties: Manage and maintain office supplies and equipment. Answer and direct phone calls, emails, and other correspondence. Schedule and coordinate meetings, appointments, and travel arrangements. Prepare and distribute minutes of meetings. Maintain an organized filing system for both physical and electronic documents. Assist in the preparation of regularly scheduled reports. Accounting Duties: Handle basic bookkeeping tasks using accounting software (e.g., QuickBooks, Xero). Prepare and send invoices, as well as follow up on outstanding payments. HR Duties: Maintain employee records and ensure data accuracy and confidentiality. Assist with recruitment processes, including posting job ads, scheduling interviews, and onboarding new employees. Help organize company events, training sessions, and meetings. Process payroll and ensure compliance with relevant laws and regulations. Handle employee inquiries and provide support regarding HR policies and procedures. Assist in the development and implementation of HR policies and procedures. Qualifications: Proven experience as an Administrative Assistant or in a similar role. Basic knowledge of accounting principles and experience with accounting software. Understanding of HR practices and procedures. Proficiency in MS Office (Word, Excel, PowerPoint) and office management software. Excellent organizational and multitasking abilities. Strong attention to detail and problem-solving skills.
