Position: Executive Assistant to the Managing Director Location : Noida Reports To: Managing Director Job Summary: The Executive Assistant will act as a strategic partner to the Managing Director, ensuring efficient operations by managing schedules, streamlining communication, and providing high-level organizational support. This role requires exceptional professionalism, discretion, and adaptability in a fast-paced, high-growth business environment. Key Responsibilities : 1. Administrative Support: • Manage the Managing Director’s calendar, schedule meetings, and coordinate travel arrangements. • Draft, edit, and manage correspondence, reports, presentations, and dashboards. • Prepare Agendas, schedule and coordinate meetings, conferences, and virtual events, ensuring logistics and materials are prepared. • Take detailed minutes, summarize key takeaways, and follow up on action items. • Serve as the primary liaison between the Managing Director and internal/external stakeholders, ensuring timely communication. • Screen and prioritize emails, calls, and requests, addressing urgent matters proactively. 2. Strategic and Operational Support: • Conduct research on market trends, competitor analysis, and other business topics, preparing concise, actionable reports. • Provide insights to support decision-making, strategic initiatives, and project execution. • Identify opportunities to improve workflows and implement solutions for operational efficiency. • Represent the Managing Director in meetings when required, summarizing outcomes and ensuring action items are completed. 3 . Coordination and Communication: • Collaborate with department heads to ensure smooth communication and timely completion of critical tasks. • Act as the point of contact during emergencies, coordinating immediate responses to challenges. • Mentor junior administrative staff or interns, ensuring alignment with company standards. 4. Confidentiality and Risk Management : • Handle sensitive information with the utmost discretion and professionalism. • Anticipate potential risks or disruptions, creating contingency plans to maintain business continuity. Qualifications and Skills: • Education: Bachelor’s degree in Business Administration, Management, or a related field. • Experience: 3–5 years as an Executive Assistant or in a similar role, preferably supporting senior executives in high-growth businesses or startups. • Technical Proficiency: Advanced knowledge of Microsoft Office Suite, calendar management tools, and familiarity with ERP systems or project management software. • Soft Skills: o Exceptional organizational and time management abilities. o Strong verbal and written communication skills. o Problem-solving mindset with a proactive approach to challenges. o Flexibility to adapt to changing priorities in a dynamic environment. • Preferred Experience: Experience in working with senior management or C-suite executives and familiarity with the electrical, manufacturing, or related industries.
