The Role of a Paraplanner
Much like paralegals in the legal field, Paraplanners are invaluable professionals who possess a blend of administrative precision and highly specialized technical or financial skills. This role goes beyond typical administrative tasks to include data analysis, research, client relationship building, and strategic participation in growth initiatives. By mastering these elements, you will become an indispensable asset to the Financial Planners and the clients they serve.
Key Responsibilities
Client Meeting Support: Attend client meetings alongside qualified Financial Planners. Accurately take notes, document important action items, and ensure that every commitment made during the meeting is followed up on or completed within agreed timeframes.
Review Preparation: Conduct periodic reviews of client files—quarterly or bi-annually. Draft concise yet informative reports to be shared electronically with clients, showcasing the value our team provides on an ongoing basis.
Client Relationship Campaigns: Execute one-time or recurring campaigns aimed at strengthening client relationships, ensuring every client feels valued and well-serviced throughout their journey with us.
In-House Servicing: Provide top-notch internal support, including policy and portfolio administration, data gathering, and day-to-day assistance with complex or cross-functional tasks.
Cross-Selling Initiatives: Collaborate with the division to identify and implement cross-selling strategies, ensuring clients benefit from the full suite of services our organization offers.
Practice Management: Help manage the practice by maintaining essential data in XPlan, reviewing daily tasks, organizing diaries for Financial Planners, and ensuring compliance requirements are met consistently.
Case Management and Escalation: Keep track of outstanding business processes daily, pinpoint delays, liaise with clients for any missing information, and escalate problem cases to management when necessary.
Portfolio Reviews and Preparation: Use Astute downloads to prepare client portfolios at least one week in advance of scheduled appointments. Double-check and fine-tune data for accuracy, offering any recommendations or identifying potential shortfalls for the Financial Planner.
Client File Maintenance: Ensure new and existing client files are complete, updated, and compliant. Take care of essential details such as nicknames, current addresses, occupations, and any relevant family information (e.g., children or spouses).
Review Scheduling: Coordinate and schedule timely review calls at least once every 12 months or according to the client’s segmentation group. Ensure follow-up activities are properly documented.
Buy & Sell Support: Prepare Buy & Sell quotations, related documentation, and assist with presentations. Regularly create activities for each company and associated client, ensuring annual reviews are conducted for every active Buy & Sell agreement.
Key Skills and Attributes
Technical and Analytical Proficiency: Skilled in data gathering, research, financial plan compilation, and analysis. Familiarity with or willingness to master XPlan is essential.
Regulatory Awareness: Adept at understanding and working within the RE5 and FAIS frameworks. Keeping abreast of compliance changes is a critical component of your role.
Communication Excellence: Strong written and verbal communication skills. Ability to engage with clients professionally and convey complex financial information in a clear, concise manner.
Practice Management: Efficiently organize and prioritize daily tasks, maintain diaries, and ensure that all timeframes and deadlines are met.
Campaign Management: Manage and execute marketing or relationship-building initiatives that broaden the firm’s reach and strengthen existing client relationships.
Interpersonal Savvy: Outgoing and personable, with an aptitude for building rapport quickly and understanding diverse client needs.
Adaptability: Comfortable with unpredictability in daily tasks, able to pivot quickly and find creative solutions to evolving challenges.
Team Player: Eager to work collaboratively with Financial Planners, internal teams, and management. Willing to share ideas and resources to help the entire team succeed.
Job Overview
In this role, you will work directly with the lead Planner and a team of Financial Planners, taking full responsibility for monitoring and expediting outstanding business. You’ll be responsible for coordinating daily follow-ups on client cases, proactively identifying and resolving delays, and ensuring comprehensive updates are shared with both clients and advisors in a timely manner. Furthermore, you will oversee the scheduling and preparation of client portfolios, ensuring each Financial Planner’s diary is efficiently managed and that any shortfalls or opportunities for improvement are flagged before client engagements.
Additionally, you will manage client files meticulously—verifying that each new application is correctly loaded and that records are updated during reviews. You’ll also coordinate Buy & Sell quotations and documentation, guaranteeing these important agreements remain current and aligned with each client’s evolving needs. Your thoroughness and passion for client satisfaction will be key contributors to our team’s ongoing success.
