Job location: Ontario (GTA preferred) Division: Executive Office Hours: 40 hours per week, Monday – Friday Commitments may extend beyond regular office hours and although this role generally does not require attendance at such events or significant overtime, there are times when it will be necessary to provide support in-person at our office locations, including Toronto, or beyond regular office hours across multiple time zones internationally. Aurora is recruiting an Executive Assistant to support our Chief Executive Officer and our Chief Financial Officer. Based in Toronto, the ideal candidate will have considerable skill and previous experience working as an Executive Assistant at the most senior levels in a fast-paced and dynamic industry. They must be comfortable working across multiple time zones including Europe and Australia. The successful candidate will be highly organized, possess strong decision-making and prioritization skills, exceptional interpersonal skills, polished communication skills, and ability to exercise good independent judgement. They will lead with integrity and represent the Executive Office with the highest of standards. The role is work-from-home but based in Toronto as there are multiple in-person meetings to coordinate and attend on a regular basis in Toronto. MAIN RESPONSIBILITIES INCLUDE:
- Supports CEO & CFO in the smooth flow of information and activities in a multifaceted operation with ever-changing priorities.
- Handles sensitive information appropriately and uses good judgement in problem solving.
- Handles and prepares all aspects of confidential and sensitive documents, ensuring critical timelines are met.
- Prepares and submits expense reports.
- Provides sophisticated calendar management to promote maximum productivity; prioritizes inquiries and requests and troubleshoots conflicts.
- Coordinates all travel arrangements (accommodation, flights, vehicles, etc.).
- Prepares agendas, attends meetings, schedules, and takes minutes at internal and external meetings as requested.
- Coordinates Board Meetings including working with Board Members, scheduling, documentation; set up of meetings including any travel requirements.
- Develops and cultivates collaborative relationships with peers, employees, the Board of Directors, the Executive Leadership Team, and external partners.
- Composes, reviews, and follows through on internal and external communication with a commitment to accuracy and attention to detail.
- May serve as the primary point of contact for internal and external stakeholders on business matters and local office matters.
- Assists with internal and external communication efforts: organizes and coordinates special events and projects.
- May support related projects and conduct research as required.
- A minimum of eight years of experience with at least three years supporting at the C-level – experience within a public company is an asset.
- College diploma in Business, Office Administration, or related relevant education is an asset.
- Expert skills working with Microsoft Office.
- Ability to act with minimal supervision, discretion, maturity, and with absolute confidentiality.
- Ability to work under tight timelines and to balance multiple and varied projects at one time.
- Thorough knowledge of corporate communications, spelling, and grammar.
- Exceptional written, verbal, and interpersonal communication skills.
- Event planning experience including travel management, contracting with vendors and hotels.
- Ability to inspire trust and confidence in relationships with others; the ability to exercise diplomacy when dealing with employees, customers, stakeholders, and more.
- Ability to represent the Executive Office with the utmost of integrity and professionalism.
