Job Title: Administration Coordinator Location: Kuwait Department: Human Resources Reports To: Chief People Officer (CPO) Job Purpose: The Administration Coordinator is responsible for providing high-level administrative and operational support to the Chief People Officer (CPO) and the broader Human Resources department. The role ensures the smooth execution of administrative tasks, coordination of activities, and adherence to organizational policies to foster a productive and efficient workplace. Key Responsibilities:
- Administrative Support:
- Manage and coordinate the CPO’s calendar, scheduling meetings, and organizing appointments.
- Prepare and edit correspondence, reports, presentations, and other documents as required.
- Handle internal and external communication on behalf of the CPO, ensuring timely responses and professional representation.
- Office Management:
- Ensure the efficient functioning of the office by maintaining office supplies, managing records, and overseeing office equipment maintenance.
- Coordinate with vendors and service providers for office-related requirements.
- Maintain and update administrative systems to improve operational efficiency.
- HR Coordination:
- Assist the HR team with onboarding processes, including documentation and orientation schedules.
- Maintain employee records, ensuring they are accurate, up-to-date, and compliant with legal and company requirements.
- Support HR initiatives and activities, including employee engagement programs, training sessions, and company events.
- Travel and Logistics:
- Organize travel arrangements for the CPO and other senior staff, including flight bookings, hotel accommodations, and itinerary preparation.
- Coordinate logistics for company meetings, events, and training sessions.
- Data Management:
- Maintain and safeguard confidential files and records in accordance with company policies and data protection regulations.
- Prepare and analyze reports, summarizing key data points for management review.
- Compliance and Policy Adherence:
- Ensure that all administrative activities comply with company policies and procedures.
- Assist in the implementation of corporate policies and communicate changes effectively to the relevant stakeholders.
- Education: Bachelor’s degree in Business Administration, Human Resources, or a related field.
- Experience: Minimum of 3 years of relevant experience in administrative roles, preferably within a corporate or HR setting.
- Skills:
- Exceptional organizational and time-management skills.
- Strong written and verbal communication abilities in English (Arabic is an advantage).
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other administrative tools.
- Ability to handle sensitive information with confidentiality and professionalism.
- Strong problem-solving skills and the ability to work independently.
- Excellent interpersonal skills, with the ability to work effectively in a team environment.
- Attention to Detail: Ensures accuracy in documentation and record-keeping.
- Multitasking: Manages multiple responsibilities effectively under tight deadlines.
- Initiative: Takes proactive steps to improve processes and resolve issues.
- Customer Service Orientation: Maintains a positive and helpful attitude towards internal and external stakeholders.
- The position is based in Kuwait and may require occasional travel.
- Regular working hours with flexibility required during peak business periods.
