Executive Assistant to Chief Executive Officer Role: Top-tier Executive Assistant to CEO (Scaling AI SaaS Startup) Company Overview: Our client is a high-growth Generative AI SaaS startup trusted by globally admired luxury brands. We operate as a globally distributed, remote-first company, which means our team spans multiple geographies and time zones. Building on a foundation of 7-figure revenue, our CEO—who has successfully founded and grown multiple 7-figure revenue ventures—is now on a mission to scale this business into a $1B+ enterprise. He sets a very high bar for excellence, detail, and hard work, expecting the same from his Executive Assistant (EA). The right candidate will help drive this ambitious journey by ensuring the CEO’s time is leveraged for maximum strategic impact. Summary of the Role: As the EA, you will function as the CEO’s trusted strategic partner and operational backbone. You will coordinate complex schedules across multiple time zones, organize frequent international travel, prepare for high-stakes meetings, and handle sensitive communications. The role also encompasses supportive operations/HR tasks and occasional personal assistance (0-20%) to enhance the CEO’s overall bandwidth. While we are remote-first, the ideal candidate will be Singapore-based, ensuring that you can provide in-person support for when the CEO is in town. Above all, the CEO must be able to completely trust you in all these areas. You must exercise impeccable judgment, maintain confidentiality, and hold yourself to the highest standards. Key Responsibilities: Executive Assistance (Primary 70 - 80%): Calendar & Time Management: Flawlessly schedules and coordinates across global time zones, ensuring the CEO’s agenda aligns with top business priorities. Travel Coordination: Manage complex, often last-minute global travel itineraries, ensuring seamless logistics and minimal disruptions. Meeting Preparation & Follow-Up: Prepare agendas, conduct research, attend select meetings (virtual or in-person as needed), capture action items, and guarantee timely follow-through with unwavering precision. Email & Communication Management: Triage a high volume of cross-border communications, discerning what requires immediate CEO involvement and what can be resolved independently, while upholding a polished, professional voice. Strategic Gatekeeping: Make critical judgments on inbound requests, protecting the CEO’s focus and ensuring that only the most impactful issues reach his desk. Supportive Operations & HR Tasks (Secondary 10 - 20%): HR Coordination: Assist with onboarding/offboarding documentation, liaise with external HR partners spread across different regions, and maintain impeccable personnel records. Operational Projects: Support vendor management, expense reconciliation, and other operational tasks that streamline the CEO’s workload. Personal Assistance (Occasional 0 - 20%): Personal Logistics: Occasionally handle personal appointments, travel arrangements, or household logistics to keep the CEO operating at peak effectiveness. Performance Metrics: CEO Time Leverage: Demonstrably reduce the CEO’s time spent on tactical tasks, allowing him to focus on strategic growth, investor relations, and high-impact decisions. Response & Follow-Through Velocity: Ensure that 100% of key action items from meetings and communications are followed up on and completed within agreed-upon timelines. Operational Efficiency: Maintain an impeccable schedule with zero missed appointments or delays, and ensure travel logistics are executed flawlessly with minimal disruptions. Top 3 Key Attributes & Their Application: Exceptional Prioritization, Organizational Skills, and Detail Orientation: In a globally distributed environment, meticulous attention to detail and the ability to prioritize effectively are non-negotiable. You will manage intricate calendars, shifting time zones, and international travel with ease—always ready to pivot when unforeseen changes occur. Superior Communication, Stakeholder Management, and Judicious Critical Thinking: You will interact with stakeholders from diverse cultures, markets, and time zones. Your critical thinking skills help you parse complex information, identify what truly matters, and communicate it effectively. High-Level Business Acumen, Proactive Anticipation, and Availability for Strategic Insight: Beyond admin work, you’ll leverage your business understanding and willingness to adopt GenAI tools to identify emerging trends, highlight market shifts, and prepare the CEO for critical global discussions. Qualifications & Experience: Proven EA Experience: 5+ years supporting C-level executives in high-growth and globally distributed startups, ideally B2B SaaS. Detail-Obsessed & Proactive: A track record of flawless execution, anticipating needs, and adapting swiftly. Strong Communicator & Critical Thinker: Exceptional English communication skills, adept at understanding context and nuance, and confident in interacting with diverse global stakeholders. Adaptable & Calm Under Pressure: Thrives in a dynamic environment where priorities shift and time zones collide. Tech-Savvy & AI-Inclined: Comfortable with Google Workspace, Slack, and Notion, and eager to leverage Generative AI tools for research, productivity, and strategic foresight. Preferred: Familiarity with Mandarin Chinese or other relevant languages is a plus. Experience working with globally distributed teams. Exposure to SaaS metrics, investor and strategic partnership relations, and previous experience in AI-driven tech companies.
