Maternity Cover: 6 month Contract Up to AED28K/month Role Overview - Experienced in Projects and Project Finance - Document-heavy role - Potential for permanent role starting December Hours: 8.30am to 5.30pm Start date: December Position: Assistant to Support The Projects Team and Project Finance Team The Assistant will support the Project Team (consisting of 2 Partners, 1 Senior Counsel, 1 Senior Associate, and 1 Associate) and the Project Finance Team (consisting of 1 Senior Counsel and 1 Senior Associate) and will report to the Dubai Office Coordinator. Ability to work flexible hours and provide regular out of hours support is necessary for this role.   1. Answering the main switch line, dealing with enquiries and relaying messages
  2. Making sure meeting rooms are set up for meetings
  3. Meeting and greeting clients as and when required
  4. Providing tea/coffee/water for clients
  5. Arranging catering as and when required
  6. Diary management to include arranging meetings and appointments
  7. Maintaining electronic files in iManage
  8. Formatting/reformatting various documents/agreements into house style
  9. Proofreading to ensure completed documents are accurate and in house style
  10. Checking defined terms and cross-references on project documents
  11. Completing first draft of engagement letters as required
  12. Inserting markup into deviation tables
  13. Collecting/collating/sending signature page packs for completed deals
  14. Drafting diagrams in Jigsaw
  15. Creating PowerPoint presentations
  16. Adding contacts to interaction
  17. Running redlines (lots of redlines)
  18. Collating project bibles as and when required
  19. Booking flights/hotel/sorting out visas as required
  20. Making restaurant reservations
  21. Assisting in the organisation of our yearly client event
  22. Arranging FedEx collections when required
  23. Providing backup support for the Office Coordinator in their absence
  24. Performing other ad-hoc duties as required
Billing – 3E - Running proformas as required and on a monthly basis - Editing proformas as marked up by partner - Finalising proformas - WIP reports as required by fee earner ChromeRiver - Submitting expenses for team members and external vendor invoices as required IntApp Intake - New Client / Matter Opening / Conflict Checks Must have strong legal secretarial experience, already be based in Dubai, and have fluent English.
