MAJOR RESPONSIBILITIES 1. Individual Accountabilities
- Order and Shipment Documentation: Prepare and manage all necessary documentation for inbound and outbound shipments, including bills of lading, invoices, customs declarations, and other compliance-related documents.
- Shipment Scheduling and Tracking: Coordinate the scheduling and tracking of shipments, ensuring accurate and timely updates to internal systems and stakeholders.
- PO Management Support: Assist with PO control by updating bookings, tracking shipment arrivals, and ensuring that Intake data is up-to-date and accurate.
- Data Entry and System Maintenance: Maintain logistics management systems, ensuring all shipment data is accurately entered and updated in real-time, supporting visibility and reporting.
- Problem Resolution: Address issues such as shipment delays, lost goods, and discrepancies, working closely with logistics teams, vendors, and warehouses to find timely solutions
- Collaboration with Logistics Teams: Support the logistics team in coordinating transportation schedules, tracking shipments, and resolving issues to ensure smooth operations.
- Vendor Coordination: Work with vendors to ensure timely dispatch and delivery of goods, and communicate any delays or issues impacting delivery schedules. Reporting and Documentation Support: Provide accurate data and reports on shipment status, inventory levels, and operational performance to assist decision-making and compliance.
- Owns: The creation, maintenance, and accuracy of shipment and order documentation in the logistics systems.
- Influences: Shipment scheduling and tracking decisions, particularly where adjustments or delays are required to meet operational needs.
- Vetoes: Shipments or orders that are incomplete, incorrectly documented, or fail to meet compliance standards, escalating these issues as needed.
- Documentation Accuracy: Percentage of logistics documentation (e.g., bills of lading, invoices) processed without errors, aiming for 100% accuracy.
- Shipment On-Time Performance: Percentage of shipments that are processed and dispatched on time, with a target of 95%+ on-time delivery.
- P Data Accuracy: Measure the accuracy of PO ASNs updates and records in OWMS systems, with a goal of 99%+ accuracy.
- Issue Resolution Time: Average time taken to resolve discrepancies or issues with shipments or inventory, aiming for resolution within 48 hours.
- System Update Timeliness: Track how quickly shipment information and inventory data are entered into logistics systems after key events (e.g., dispatch, receipt), aiming for real-time updates
- Attention to Detail: Ensure that all logistics documentation and data entries are accurate and complete, preventing errors in shipments and inventory management.
- Time Management: Effectively manage multiple tasks and responsibilities, ensuring that all shipments are scheduled, tracked, and documented in a timely manner.
- Problem-Solving : Proactively identify issues and bottlenecks in the logistics process and take swift action to resolve them, ensuring minimal disruption to operations.
- Technical Proficiency: Expertise in logistics and inventory management systems, including data entry, reporting, and tracking functions.
