Executive Assistant Location: Riyadh Job Type: Permanent, Full time About the Job The Executive Assistant will provide administrative support to the GM of General Medicines GG MCO. To achieve success it is critical that the Executive Assistant:

  1. Ensure the administrative support necessary and participate to maintain a collaborative environment with multiple stakeholders in the countries.
  2. Support the administrative/logistical preparation.
  3. Provide the necessary support in the best conditions of quality and timelines with good reactivity and autonomy.
KEY RESULTS / ACCOUNTABILITIES
  1. Provide high level administrative and secretarial support including calendar & meeting management, set agendas, attend, and follow through on action items to the GM on a daily basis.
  2. Management of diary, ensuring appropriateness of arrangements for meetings, travel, accommodation, and events.
  3. Writing and preparation of memos, letters, minutes, reports, and other documents, including taking dictation or typing up confidential information.
  4. Assist in the preparation of documents and logistics.
  5. Business travel arrangement including Agency meeting coordination and planning as required.
  6. Manage expense reporting by preparing and submitting expense reports, often including complex international travel related transactions.
  7. Manage and ensure adequate communication with the expanded team.
  8. Ensure internal and external communication, serving as the conduit link between the Executive and internal/external interlocutors.
  9. Channel downwards communication and follow-up on the implementation of the administrative directions.
  10. Act as the Executive's personal representative on internal and external matters of an administrative nature.
  11. Undertake a variety of special events and projects, involving internal and/or external research and liaison, on behalf of the Executive.
  12. Track and coordinate departmental initiatives and projects by driving action cycles and timelines as appropriate.
  13. Proactively troubleshoot and address travel conflicts, generating detailed itineraries, and coordinating office support needs in satellite locations.
  14. Provide coordination and logistics support of meetings and events, both on and off-site.

About You Education Level: University Graduate – Secretariat/Communication Experience: 5-8 years of experience in a similar environment. Skills:
  1. Fully conversant and proficient in Microsoft Office.
  2. Advanced level of written and verbal English.
  3. Excellent interpersonal, organizational, and communication skills in a multi-cultural environment.
  4. Able to manage multiple tasks simultaneously with attention to detail.
  5. Strong problem-solving skills that allow proactive anticipation of requirements.
  6. Enthusiastic with a positive outlook and willingness to support with honesty, consistency, and reliability.
  7. Ability to work unsupervised efficiently and effectively in a demanding environment.
  8. Ability to learn and adapt.
  9. Skilled at organizing processes and systems.
