Job Purpose The job includes providing high-level administrative support and assistance to the CEO and/or other assigned leadership staff. This role requires a proactive, organized, and detail-oriented individual who can handle multiple tasks simultaneously and communicate effectively with all levels of staff and external contacts Key Roles & Responsibilities Administrative Support :

  • Manage and maintain executives' schedules, including appointments, meetings, and travel arrangements.
  • Prepare and review correspondence, reports, and presentations.
  • Organize and prioritize tasks to ensure the executive’s time is used effectively.
Communication:
  • Serve as the primary point of contact for internal and external stakeholders.
  • Draft, proofread, and manage email correspondence on behalf of executives.
  • Handle confidential information with discretion.
Meeting Coordination:
  • Schedule and coordinate meetings, including agendas, meeting materials, and follow-up actions.
  • Take minutes and action items during meetings, ensuring timely follow-up.
Travel & Event Planning:
  • Coordinate travel arrangements, including flights, accommodation, and itineraries.
  • Organize internal and external events, including conferences, team-building activities, or client meetings.
Document Management:
  • Maintain and organize files, records, and documents, both physical and electronic.
  • Ensure timely retrieval and confidentiality of sensitive documents.
Project Assistance :
  • Assist with various special projects, including research, reporting, and logistics.
  • Provide support for ad-hoc tasks as needed by the executive team.
Additional Skills
  • Exceptional organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong attention to detail and ability to manage multiple priorities simultaneously.
  • Ability to work independently and with minimal supervision
Minimum Qualification
  • Any Graduate/ Post Graduate.
  • Any Diploma/ certificate in office admin or Secretary domain will be of added advantage
  • 8-15 years of relevant experience
  • Exposure to similar line of business(wealth)/financial services would be preferred
