Key Responsibilities: Administrative Support:
  • Manage the Director, VP or COO's calendar, appointments, and meetings.
  • Prepare and edit correspondence, presentations, and reports.
  • Handle travel arrangements, including flights, accommodations, and itineraries.
Project Coordination:
  • Assist the Director, VP or COO in overseeing and coordinating projects across departments.
  • Track project timelines, deliverables, and budgets, ensuring deadlines are met.
  • Prepare project status updates, reports, and documentation.
  • Liaise with project teams, clients, and vendors to ensure alignment with goals.
Communication and Coordination:
  • Act as a point of contact between the Director, VP or COO and internal/external stakeholders.
  • Screen and prioritize emails, calls, and requests for the Director, VP or COO.
  • Coordinate cross-departmental activities and ensure seamless communication.
Data and Document Management:
  • Maintain and organize confidential files, records, and project documentation.
  • Assist in gathering and analyzing data for project reviews and strategic planning.
Event and Meeting Management:
  • Organize and coordinate meetings, including preparing agendas and minutes.
  • Assist in planning and executing corporate events or project-related activities.
Other Responsibilities:
  • Monitor and follow up on tasks and action items assigned by the Director, VP or COO.
  • Handle ad hoc duties and responsibilities as required by the Director, VP or COO.
Key Requirements: Education: Degree in Business Administration, Management, Marketing or a related field. Experience: Minimum 2 years of experience as a Personal Assistant or Executive Assistant, preferably in a project-based or corporate environment. Experience in project coordination or management is an advantage. Skills:
  • Excellent organizational and time management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle multiple tasks and work under pressure.
  • Detail-oriented with strong problem-solving skills.

  • High level of discretion and confidentiality.
  • Proactive and self-motivated.
  • Strong interpersonal skills to interact with diverse stakeholders.
