Position Summary: We are seeking a highly organized and detail-oriented Real Estate Secretary with expertise in leasing, legal documentation, and bookkeeping within the property management industry. The ideal candidate will have extensive knowledge of legal documents, leases, and the tools commonly used in property management. Key Responsibilities:
- Leasing Administration:
- Prepare, review, and manage lease agreements and other leasing documents.
- Coordinate with tenants and landlords to ensure timely lease renewals, amendments, and compliance with lease terms.
- Maintain accurate records of all leasing activities in the Rent Manager system.
- Legal Documentation:
- Draft, proofread, and finalize legal documents related to property management, including contracts, agreements, and notices.
- Ensure all documents comply with applicable laws and regulations.
- Maintain a secure filing system for legal and property-related documents.
- Bookkeeping and Financial Administration:
- Manage financial transactions, including rent payments, security deposits, and other related fees.
- Reconcile accounts and prepare financial reports using property management software.
- Assist with budgeting and financial planning for property operations.
- Administrative Support:
- Handle communication with tenants, landlords, and vendors regarding property-related matters.
- Coordinate appointments, meetings, and property inspections.
- Prepare correspondence and reports using Microsoft Word and Adobe tools.
- Proven experience in property management, with a strong focus on leasing, legal documents, and bookkeeping.
- Proficiency in using DocuSign.
- Proficiency in using Rent Manager.
- Excellent understanding of property management laws and regulations.
- Strong organizational and time management skills with attention to detail.
- Excellent communication and interpersonal skills.
- Ability to handle sensitive information with confidentiality.
- Familiarity with local real estate laws and regulations.
- Experience in handling a high volume of leases and legal documents.
