Who we are looking for:This role is a key part of the South Asia leadership team with managerial responsibility of the finance, sales ops and regulatory teams. The ideal candidate should have 7-10 years' experience in and sound understanding of finance and international business. Especially related to accurate financial reporting and compliance, customs, taxation rules and import/export processes. They should have the demonstrated capability to handle office administration and diligence to process orientation. Experience with working in healthcare with different business models, managing teams in the past and exposure to regulatory/HR processes is an added advantage.General Responsibilities: Primary point of contact for operations workflow between HQ and subsidiary, incl. but not limited to office management, information technology, human resources, finance and accountingResponsible for smooth running of assigned operations related activities and achieve a continuous process flow within a flexible multi-skilled teamwork environment within the regionPromotes Brainlab values and principles that drive a strong stewardship culture within the Operations group with continuous improvement mindsetIs conversant and able to coach in all operations related areas. Responsible for the team with respect to making the results/issues visible, managing the execution of the activities and resolving issues systematicallyWorks with the director, regional manager and various departments in HQ to implement improvement processes effectively, ensuring objectives are developed and timely continuous feedback is provided to direct reportsResponsible for employee development, coaching and mentoring of all direct reports with the employee, and effectively mentoring to enhance performance. Ensures all direct reports have a development plan supporting achievement of objectives and future professional growthMaintains positive working relationships amongst and across the team and fosters an environment of employee engagement, empowerment, teamwork, and accountability. Provides effective, regular and timely communication to their team and ensures that feedback is given to support team performanceResponsible to share the support objectives with support manager, incl., but not limited to revenue planning, documentation compliances, etc with the interests and quality standards of the companyFinance and Operational Function:Review all orders regularly and initiate necessary follow-up, e.g. regarding missing order assignments, acceptances, backorders etc.Ensure up-to-date order documentation/filingWork with Sales and Support on Revenue PlanningCo-ordinate shipments, shortage of parts/back orders, and installations with internal departments and customersSupport Sales and Service colleagues in their projects and daily work, by organizing, coordinating, and initiating follow up, in order to serve the customers professionally and with valid, up-to-date information at all timesWork with Finance and Accounting regarding proper handling of Customer Accounts, e.g. credit limits, tax issues, etc.Perform an on-going follow-up with customers on open/due invoices, to facilitate receiving customer payments on time and reduce overdue Accounts ReceivablesAdministrate and record activities for Field Safety Notices, Product Notifications, and Safe Use Reminders, in co-operation with Quality ManagementTenders: Co-ordinate and administrate tender projects and documentsLoaners / Demos: Co-ordinate and process hard and/or software loaners and demos in accordance with regulatory and internal guidelinesWorking closely with HQ's HR department in delivering excellent HR policies and services to the employees in the covering territoriesOverseeing all aspects of office administrations for local officeRegulatory Affairs FunctionOversee product registrations in South Asia countries (including India and Saarc countries) with a focus in maintaining compliance with local requirementsManage complaint handling and reporting in close cooperation with Brainlab VigilanceWorking closely with HQ's Regulatory Affairs team in ensuring that all relevant licenses are maintained accordingly PRB
